About The Position

Word on Fire Catholic Ministries is a nonprofit global media apostolate that supports the work of Bishop Robert Barron and reaches millions of people to draw them into—or back to—the Catholic faith. The Production Coordinator is responsible for the studio production schedule, internal production department project management, and administrative tasks such as travel arrangements for the production team and external guests and talent.

Requirements

  • Commitment to the mission of Word on Fire
  • Great organizational skills with a close attention to detail
  • 3 years of experience in or around video production processes
  • Ability to manage and maintain multiple calendars at a time
  • Ability to manage multiple vendors, contractors, and external stakeholders at a time
  • Ability to source and maintain an active roster of collaborators
  • Interpersonal skills, written and verbal
  • Ability to source office or production needs in a timely manner
  • Familiarity with spreadsheets and Google applications
  • Familiarity with production call sheets

Nice To Haves

  • High levels of initiative and problem-solving skills
  • Familiarity with the work of Bishop Barron and Word on Fire
  • Adobe Creative Cloud
  • Experience with project management softwares such as Monday.com
  • Experience sourcing licensed footage

Responsibilities

  • Maintain accurate details in the production calendar for all production related events and projects including filming sessions, post production deadlines, and travel
  • Internal production department project management focused on assisting the team to hit deadlines; utilize and update applicable project management software and tools
  • Source and administer contracts with production contractors such as photographers, makeup artists, and camera operators
  • Produce and distribute call sheets for all productions with relevant and accurate details
  • Manage craft services and make arrangements for all production related guest meals
  • Purchase and stock various office and production supplies
  • Occasionally assist in communication with building management representative to maintain a clean, safe, and orderly studio and office environment
  • Monitor project budgets and expenditures, tracking costs associated with contractor services
  • Coordinate and schedule contractors for various productions
  • Maintain an organized scheduling system to track contractor availability, project timelines, and resource allocation
  • Book and coordinate travel arrangements for the production team and external guests/talent
