About The Position

The Production Coordinator plays a critical role in ensuring the smooth, accurate, and timely flow of materials, orders, and information throughout the manufacturing process. This position supports both the Project Management (PM) team and shop operations by processing purchase orders, creating and tracking work orders, coordinating material movement, and maintaining inventory accuracy. Success in this role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast‑paced production environment. The Production Coordinator ensures that materials, documentation, and schedules are aligned so the shop can execute work efficiently and deliver high‑quality products on time.

Requirements

  • Experience in a manufacturing, production, or fabrication environment.
  • Strong understanding of purchase orders, work orders, and material flow.
  • Proficiency with ERP/MRP systems and basic inventory management principles.
  • Excellent communication skills for coordinating between PM, purchasing, and shop teams.
  • Strong organizational skills with the ability to manage multiple priorities.

Nice To Haves

  • Experience in architectural manufacturing, metal fabrication, or custom production environments.
  • Familiarity with inventory control methods such as cycle counting or Kanban.
  • Knowledge of ERP systems such as Epicor, SAP, Oracle, or similar.
  • Lean Manufacturing or Six Sigma training or certification.
  • Associate’s or Bachelor’s degree in Business, Supply Chain, Industrial Technology, or related field.

Responsibilities

  • Process purchase orders — Enter, review, and track purchase orders to ensure materials are ordered accurately and delivered on schedule.
  • Process transfer orders — Create and manage transfer orders to move materials between departments, warehouses, or facilities.
  • Create work orders — Generate detailed work orders for the shop, ensuring all specifications, materials, and timelines are clearly documented.
  • Follow up on orders — Monitor open orders, communicate delays or issues, and ensure timely fulfillment.
  • Communicate with PM team and shop — Serve as a central point of contact, relaying updates, clarifying requirements, and resolving discrepancies.
  • Manage material movement and inventory — Coordinate material staging, track inventory levels, and support cycle counts to maintain accuracy.
  • Maintain production schedules and update stakeholders on order status and material readiness.
  • Identify bottlenecks or material shortages and escalate issues proactively.
  • Prepare daily/weekly reports on order status, inventory levels, and production readiness.
  • Support continuous improvement efforts to streamline order flow and material handling.
  • Prepare and process invoices by verifying completed work, purchase orders, and supporting documentation to ensure timely and accurate billing.
