About The Position

The Production Assistant for the Berklee Presents production team will have the opportunity to actively engage in the process of mounting a live interdisciplinary student concert from start to finish. Reporting to the Senior Concert Producer, this role supports a range of administrative, operational, and cast communication activities across the pre-production, production, and post-production phases. The Production Assistant will help to enable a smooth work-flow and organization of team files and shared drive databases, and act as a point of contact within the team for queries and administrative needs of cast members. They will assist in backstage management during rehearsals and concerts, ensuring that everyone is ready for curtain and in the wings in time for their entrances. They will oversee the Berklee Presents recording studio booking calendar and support the Berklee Presents team and recording engineers with the coordination and scheduling of sessions. The Production Assistant will also assist with rehearsal room set-up and breakdown, virtual auditions, in-person casting calls, and production meetings. This role helps to create a safe and positive environment for students to achieve their musical and creative potential and ensures that each student has an exceptional musical and artistic journey. The ideal candidate must be able to work in a fast-paced and energetic team, and have a good knowledge of contemporary commercial music. They must also model the values of teamwork, respect, and self-confidence. The Berklee Presents team—which includes faculty, staff, and student employees—produces a variety of high-profile Signature Series concerts each year, including Singers Showcase and the Great American Songbook, as well as the Commencement Concert.

Requirements

  • Current student at Berklee College of Music or Boston Conservatory at Berklee.
  • Enrolled at least half-time in a degree, diploma, or certificate-seeking undergraduate or graduate program. Summer is the only semester in which a student can maintain employment without being enrolled. In this case, the student must be pre-registered for the upcoming fall semester. This exception does not apply to fall or spring semesters.
  • Have a valid United States Social Security Number (SSN).
  • Remain in “valid” Visa status as applicable.
  • A minimum 2.0 cumulative GPA. Students in their first semester can work, even though they do not have an official GPA until the completion of their first semester.
  • Federal Work Study student may apply.
  • In good disciplinary standing.
  • Must be located in the U.S.

  • Reading and writing music notation
  • Solid notation software skills in Finale. Experience using Sibelius, a plus
  • Fluency in Google Drive, Microsoft Office Suite, and Dropbox software
  • Experience creating and collating data in GoogleForms,
  • Knowledge of MIDI orchestration and sample libraries
  • Experience with DAWs including ProTools, LogicProX, and Garageband
  • Must be a team player, work cooperatively and collaboratively, and be focused on the student and program success

Responsibilities

  • Support the Berklee Presents production team in performing numerous tasks as needed including distributing production schedules and setlists, set-up and break down rehearsal rooms spaces, print and distribute musical charts, and oversee call times to ensure everything runs smoothly
  • Send regular email updates, reminders, and notes to student cast members and the Berklee Presents team with the understanding of knowing who the audience is, and tailoring communications accordingly
  • Help the team maintain cast production sheets in GoogleDrive, including cast availabilities, relaying important messages about absences and subs
  • Aid the Assistant to the Arranging Supervisor to maintain an online, complex scheduling sheet capturing arrangers and cast member rehearsal conflicts, including any special accommodations
  • Take and disseminate rehearsal notes within the Berklee Presents team as directed by the Producer
  • Help with cast wrangling and traffic backstage and in the green room during rehearsals and the run of the show
  • Assist with the coordination of auditions and adjudicator materials in both virtual casting and live callback settings
  • Oversee the Berklee Presents recording studio booking calendar and session log
  • Support the Berklee Presents team and recording engineers with the coordination and scheduling of sessions
  • Assist the Producer in creating the working draft of the concert program, including the correct instrumentation, hometown listings, and other key information
  • Help to promote call-to-action campaigns flyers around campus for auditions and student engagement opportunities
  • Coordinate audio and video assets within GoogleDrive
  • As needed, support the Assistant to the Arranger Supervisor to distribute and collect scores and parts during rehearsals and performances, ensuring correct versions are being used
  • Help the Assistant to the Arranging Supervisor in the coordination, organization, and dissemination of the music library in Dropbox, and when needed, make hard copy versions using the printing facilities in the Berklee Presents Workstation
  • Support the Berklee Presents team’s common mission to create a safe and inspiring environment for students to achieve their musical and creative potential, and promote diversity, equity, inclusion, and belonging
  • Assist with general administration tasks for Berklee Presents production team on an-needed basis
  • May work occasional prolonged or irregular hours, especially in the lead up to performances
