We are looking for a Sales Coordinator to join our team in the Charlotte, NC metro area. The position is responsible for providing support, including administrative support to Operations and Sales Management through data entry management, SMART system updates, backlog reviews, and preconstruction process management.

Requirements

  • High School Diploma
  • AREC contract compliance
  • Previous Real Estate Listing Management and/or Closing Coordination experience preferred.
  • Homebuilding experience helpful.

Responsibilities

  • Sales Contract administration to include contract review and balancing between contract and SMART system, exhibits, selections, etc. Process estimates once completed. Contract review, amendment processing and change order review is to be a daily task.
  • Receive and process all Good Faith Deposits, Option Deposits, etc., for Sales Contracts daily.
  • Assist agents and Sales Managers with processing Cancellations, Change Orders, etc. Oversee request for return of GFD on cancelled contract, if needed. Ratify change orders once accepted.
  • Distribute all contractual documents, contract, amendments, deposits, etc via SharePoint and to Lenders/Attorneys daily.
  • Back up to process VPO’s for change orders and/or inventory homes daily.
  • Create and maintain House Files (digital in SharePoint) for Pre-sales and Spec homes.
  • Monday morning Sales Agent Productivity report preparation and distribution.
  • Tracking of all Sales Agents license status, renewals and Board membership. Prompting licensee for action prior to deadlines for renewals.
  • Initiate house starts once house is accepted into SMART (proprietary software).
  • Request HLPs (House Layout Plans) from surveyor based on lot information from SMART.
  • Track receipt of HLPs from surveyor (within 2 days) and then obtain Construction Manager approval.
  • Fill out sewer impact paperwork and make necessary payments.
  • Request water tap authorizations and make necessary payments.
  • Scheduling and tracking all post-closing utilities disconnects.
  • Office services administration oversight of departmental needs.
  • Manage office supply contract and price negotiations with office supply partners. Review, approve and code invoices to submit for payment.
  • Process and code all office invoices.
  • Maintain and place all orders for Staples account.
  • Other duties as assigned.
