About The Position

The Product Operations Specialist provides day-to-day operational and coordination support for Vendor Management and Product Operations, with responsibility for executing and maintaining vendor catalog, administrative, and workflow activities. This role is responsible for maintaining vendor catalog data, supporting vendor administration activities, ensuring accurate documentation, and executing and coordinating product updates across core systems including Touchpoint (TPT) and the PIC integration platform. The ideal candidate is detail-oriented, highly organized, proactive, and resourceful, with strong critical-thinking and problem-solving skills. This individual should be comfortable independently investigating issues, managing competing priorities, and contributing to smooth vendor operations, accurate data maintenance, and improved communication and support for franchisees and internal partners.

  • 2+ years of administrative or support experience in business operations, vendor operations or vendor support, supply chain, catalog/data maintenance, or related functional areas.
  • Strong attention to detail with the ability to manage multiple tasks, timelines, and priorities.
  • Proficiency with Microsoft Excel, Word, Teams, SharePoint, and other collaboration tools.
  • Excellent written and verbal communication skills.

Nice To Haves

  • Experience with ERP, product configuration platforms, or catalog management systems is preferred
  • Familiarity with Salesforce or similar case-management systems is preferred.
  • Knowledge of vendor onboarding processes or technology partner integrations.
  • Experience in the home improvement or window coverings industries is a plus.

Responsibilities

  • Update and maintain vendor product catalogs in Touchpoint (TPT) and PIC, including new product setup, pricing updates, discontinued items, and other catalog adjustments.
  • Validate data accuracy and completeness, ensuring alignment across internal systems.
  • Independently investigate reported catalog, pricing, configuration, and system discrepancies; gather supporting information, reproduce issues when possible, identify appropriate stakeholders, and coordinate resolution through completion.
  • Perform testing and verification of catalog updates, escalating discrepancies or approval needs to the Senior Product Management Specialist.
  • Own assigned catalog-related cases and support tickets in Salesforce through resolution, including investigation, stakeholder follow-up, documentation, testing/validation, communication, and closure.
  • Conduct weekly catalog audits and track high-volume sales items that may require vendor follow-up.
  • Coordinate administrative aspects of vendor onboarding, including preparing communications, collecting documentation, scheduling meetings, and maintaining onboarding trackers.
  • Monitor onboarding progress, updating dashboards and reporting tools as necessary.
  • Coordinate operational activities for pilot and beta vendor programs, including scheduling meetings, documenting discussions, tracking action items, and managing vendor inquiries.
  • Prepare follow-up reminders and status updates for vendors and internal stakeholders.
  • Maintain vendor documentation libraries and ensure all contracts, approvals, and communications are archived.
  • Support Request For Approval (RFA) submissions and manage RFA support tickets in Salesforce to ensure timely approval and progression through required workflows.
  • Compile weekly and monthly reports on catalog changes, open issues, vendor activity, and onboarding progress.
  • Maintain dashboards, project plans, and operational trackers in partnership with the Senior Product Management Specialist.
  • Prepare data summaries and reporting materials for vendor management, product teams, and leadership review.
  • Partner with Product Management, Contract Management, IT, Support, and other teams to coordinate vendor activity, track issues, and ensure alignment across functions.
  • Attend internal and vendor meetings to document discussions, action items, and follow-up deliverables.
  • Prepare and coordinate presentations, leadership updates, franchise-facing communications, and status summaries.
  • Coordinate with Support and Product Management when franchisees report catalog inaccuracies to ensure efficient follow ‑ up and resolution.
  • Perform other duties as assigned for overall Catalog and Vendor Administration support functions
