About The Position

The Product Manager, Product Operations & Portfolio Management is an execution-oriented contributor responsible for bringing structure, follow-through, and operational discipline to a dynamic and fast-moving product team. This role serves as the connective tissue of the product operations function — managing the day-to-day mechanics of project tracking, documentation, and workflow coordination that keep cross-functional initiatives on track and stakeholders aligned. This role is well-suited for an individual early in a product career who brings strong project management instincts, genuine curiosity about AI-powered tooling, and a bias for organized, clear documentation. The position works closely with Senior Product Managers, the Director, and the VP — supporting active initiatives, learning the ampliFI platform from the ground up, and building the operational habits that define strong product practitioners. This is a role where executing the fundamentals exceptionally well — keeping plans current, documentation accurate, and stakeholders informed — directly enables the team to move faster and deliver better outcomes for clients.

Requirements

  • 2–4 years of experience in project management, product operations, business analysis, or a related role in a SaaS, fintech, or technology environment
  • Demonstrated project management skills — proven ability to manage plans, track milestones, coordinate stakeholders, and keep complex initiatives moving forward
  • Strong written communication skills — able to produce clear, well-organized documentation, meeting summaries, and status updates with accuracy and consistency

Nice To Haves

  • Experience with project or portfolio tracking tools (Jira, Asana, Monday.com, or similar) is a plus
  • Exposure to financial services, payments, loyalty, or card programs is a plus but not required

Responsibilities

  • Provide consistent, reliable project management support across active product initiatives — ensuring plans are current, milestones are tracked, and cross-functional teams have what they need to stay aligned and accountable.
  • Maintain detailed project plans, milestone trackers, and workback schedules for assigned initiatives — keeping them current and surfacing timeline risks or dependency conflicts as they emerge
  • Prepare and distribute status updates, meeting summaries, and action item logs for assigned initiatives — ensuring decisions and next steps are documented and communicated without delay
  • Schedule and facilitate working sessions with cross-functional teams — preparing agendas, capturing outcomes, and following up on open items to prevent things from stalling
  • Track open actions, decisions, and blockers across assigned initiatives — proactively flagging items that are at risk of slipping and helping drive resolution
  • Support initiative scope, timeline, and delivery risk management by maintaining a clear, real-time view of where things stand and what needs attention
  • Adapt project tracking and communication approaches to the scale and pace of each initiative — bringing structure without unnecessary overhead
  • Own the creation and maintenance of clear, accurate product documentation — building a knowledge base that reduces information gaps, speeds onboarding, and supports better decision-making across the team.
  • Draft and maintain functional overviews, feature summaries, configuration notes, and known issue logs for assigned products and solutions
  • Translate meeting notes, SME inputs, and product discussions into structured, reusable documentation that the broader team can rely on
  • Maintain a current and accessible library of product documentation — organizing content so that it is easy to find, understand, and update as products evolve
  • Support the creation of business requirements documentation, use cases, and acceptance criteria in close partnership with Senior Product Managers — ensuring inputs are well-structured before development begins
  • Contribute to post-launch documentation — capturing what was built, how it was configured, and what teams need to know to support and operate the solution
  • Identify documentation gaps and take initiative to fill them — proactively building the knowledge base rather than waiting to be asked
  • Support the operational rhythm of the product team — contributing to planning activities, tracking portfolio health, and helping the team operate with consistency and visibility.
  • Support portfolio intake and prioritization activities by helping compile initiative data, effort context, and dependency information for review by senior team members
  • Assist in the preparation of operational reports, portfolio dashboards, and executive-facing status materials — ensuring data is accurate, current, and clearly presented
  • Contribute to the operation of the product lifecycle framework for assigned initiatives — tracking stage-gate progress, flagging readiness gaps, and helping keep governance activities on schedule
  • Support release planning coordination for assigned initiatives — helping ensure the right teams are engaged, timelines are visible, and dependencies are surfaced ahead of launch
  • Assist with vendor and partner coordination activities as needed — tracking deliverables, following up on open items, and maintaining documentation of commitments and SLA performance
  • Contribute to recurring operational cadences — preparing inputs for team meetings, tracking follow-ups, and helping maintain the discipline that keeps the team running smoothly
  • Actively participate in the product team’s AI tooling initiatives — building familiarity with emerging capabilities and contributing to efforts that reduce manual effort and improve how the team operates.
  • Actively use and provide feedback on AI-assisted tools being piloted or adopted by the product team — contributing a practitioner’s perspective on usability and real-world value
  • Participate in AI rapid prototyping and evaluation efforts — helping test AI-powered workflows for documentation, requirements development, and portfolio tracking
  • Maintain current familiarity with AI tools and automation approaches relevant to product management and operations — bringing informed awareness to team discussions
  • Identify day-to-day workflow friction points where AI tooling could reduce manual effort or improve output quality — surfacing ideas grounded in direct operational experience
  • Support the documentation and knowledge-sharing of AI tool adoption across the team — capturing what works, what doesn’t, and how workflows are evolving
  • Ensure cross-functional partners and stakeholders have the information they need — through proactive, organized, and clearly formatted communication that keeps initiatives moving forward.
  • Prepare and distribute clear, well-organized updates on initiative status, open items, and upcoming milestones — tailored to the audience and delivered on time
  • Support communication planning for product launches and releases on assigned solutions — helping identify impacted stakeholders and ensuring coordination is in place ahead of go-live
  • Build and maintain strong working relationships with cross-functional partners — including Technology, Client Delivery, Finance, and Marketing — through consistent follow-through and organized collaboration
  • Proactively surface information, risks, and blockers to senior team members with enough lead time to act — framing issues with context and a clear ask
  • Represent the product operations team professionally in cross-functional settings — showing up prepared, engaged, and solutions-oriented
