About The Position

International House at UC Berkeley is a non-profit residential and program community committed to fostering intercultural respect, mutual understanding and leadership skills. It is home to graduate and undergraduate students, visiting scholars, and interns from across the United States and around the world. The building operates year-round as a residence, a dining hall, a conference and events venue, and a program center. The systems that run it touch admissions, finance, housing operations, dining, facilities, security, and human resources. The Product Manager, Admissions and Finance Systems owns the systems that move a resident from application through to payment. This role supports the Admissions and Financial Aid Department with the annual application build, billing and payment automation, and the reporting that tracks organizational performance. This is a product role focused on defining, building, configuring, testing, documenting, and owning the consequences of processes. The application build is a fixed calendar commitment with no manual fallback. The role involves close collaboration with Admissions and Financial Aid, Accounting, Housing Operations, the technical team, and external partners like StarRez and payment providers.

Requirements

  • Three or more years of experience owning a business system or product end to end, or an equivalent combination of education and experience.
  • Demonstrated experience configuring and administering a complex operational platform, ideally a student housing, CRM, ERP, or billing system.
  • Strong applied data skills, including database querying, schema reasoning, and building trusted reports.
  • Experience building automation using tools like Power Automate, APIs, or comparable technologies.
  • Understanding of billing concepts, including charges, payment schedules, statements, refunds, and reconciliation.
  • Discipline to meet fixed calendar deadlines for critical builds.
  • Clear written communication and strong documentation habits.

Nice To Haves

  • Direct StarRez experience, particularly with the annual application build.
  • Experience with Stripe, TouchNet, or comparable payment platforms and their webhook and reconciliation models.
  • Experience with Power BI data modeling.
  • Experience in higher education, student housing, or a non-profit finance environment.
  • Familiarity with Atrium, Verkada, Adobe Sign, Blackbaud, or Qualtrics.

Responsibilities

  • Build, configure, and test the annual application in StarRez for each cycle by a deadline set by the offer calendar, and submit for sign-off by the Director of Admissions and Financial Aid.
  • Manage day-to-day StarRez administration and troubleshooting, including terms, rates, room and rate assignment, booking statuses, and associated business rules.
  • Maintain the integrity of booking and contract records, solving reporting problems within the reporting system rather than deleting records.
  • Support move-in and move-out cycles, including managing access, card, and data steps in the correct sequence.
  • Manage accounting automations for late fees and charges, payment schedules, and generation of resident statements of account.
  • Oversee payment integrations and routing, including Stripe and TouchNet, and configure webhooks and signing keys.
  • Ensure the resident-facing account summary in the portal accurately reflects the ledger, including split awards and scholarships across terms.
  • Collaborate with Accounting on reconciliation, deferred revenue, and accounts receivable tie-outs, and ensure systems produce required auditor information.
  • Manage data flow between StarRez and operational platforms such as Atrium (meal plans, account balances), Verkada (access, resident photos), Adobe Sign (contracts), and WhenToWork (student worker scheduling, access).
  • Build and maintain Power Automate flows supporting admissions, finance, and housing operations, ensuring documentation and monitoring.
  • Diagnose and resolve integration failures, and modify processes to prevent recurring issues.
  • Manage data models and reporting infrastructure in Power BI for admissions, occupancy, revenue, and resident satisfaction.
  • Oversee the survey and satisfaction data pipeline, including Qualtrics extract and data loading for weekly reporting.
  • Ensure each report has a defined owner, monitored refresh schedule, and agreed-upon definition.
  • Document systems, processes, and business rules to a standard that allows a colleague to manage the cycle in your absence.
  • Export code, workflow configurations, integration logic, database schemas, and related artifacts to the shared repository.
  • Maintain an accurate record of system ownership for decisions and responsibilities during unavailability.
