About The Position

The Procurement Specialist will be responsible for managing end-to-end procurement processes while supporting project execution through effective sourcing, vendor coordination and material delivery. This role goes beyond transactional purchasing and requires strong project management capabilities to ensure materials, equipment and services are delivered on time, within budget and aligned with operational and project requirements.

Requirements

  • 5–7 years supporting account-based procurement experience, Required
  • Experience in construction, real estate/facilities, capital projects, Required
  • Proven experience sourcing vendors, obtaining bids, negotiating pricing and managing supplier relationships
  • Experience tracking budgets and expenses, managing spend, identifying cost-saving opportunities, and explaining budget variances
  • Ability to work effectively with people at all levels of the organization, including field teams, and comfortable asking questions, providing direction, and following up to get results

Responsibilities

  • Manage the full procurement lifecycle: requisition, sourcing, bidding, negotiation, purchase order issuance, and delivery tracking
  • Ensure competitive pricing through vendor benchmarking and multi-bid processes
  • Maintain strict cost control aligned with approved budgets
  • Review scopes of work and validate technical and commercial requirements
  • Identify, qualify, and onboard vendors (compliance, insurance, financial stability, safety records)
  • Maintain a reliable vendor network across key categories (HVAC, electrical, materials, subcontractors, etc.)
  • Negotiate contracts, pricing agreements, and service terms
  • Monitor vendor performance and enforce accountability
  • Collaborate with Project Managers and Operations teams to understand project timelines and material needs
  • Develop procurement schedules aligned with project milestones
  • Track critical path items and proactively mitigate delays
  • Support project delivery by ensuring timely availability of materials and services
  • Coordinate logistics, delivery schedules, and site readiness
  • Track procurement spend against budget and forecast variances
  • Support cost reporting, accruals, and financial reconciliation
  • Identify cost-saving opportunities and efficiency improvements
  • Ensure alignment with contract requirements (e.g., pass-through cost structures, no markup policies if applicable)
  • Implement and maintain structured procurement workflows (PR → RFQ → PO → delivery → invoice reconciliation)
  • Maintain accurate records in procurement and financial systems (e.g., CMMS, ERP, Buildertrend, QuickBooks, etc.)
  • Ensure documentation and audit readiness
