About The Position

Our Procurement Specialist works closely with our Procurement and Contracts Manager. This individual performs the day-to-day operational activities that keep the Firm's procurement function running — obtaining quotes, issuing purchase orders, securing spend approvals, coordinating signatures, and managing the business card program. The Procurement Specialist serves as a primary point of intake and resolution for procurement service requests submitted through the Firm's ticketing system and maintains procurement and contract records in the Firm's contract management system. This individual will build strong working relationships with vendors and internal stakeholders and ensure a high standard of client service across all areas of the role.

Requirements

  • Bachelor’s degree.
  • Two or more years in a procurement, purchasing, or operations support role.
  • Working knowledge of procurement and purchasing operations.
  • Advanced analytical and information gathering skills; ability to evaluate and prioritize extensive, detailed data.
  • Excellent verbal and written communication skills.
  • Talent for delivering client service through teamwork.
  • Ability to apply effective independent judgment.
  • Ability to juggle multiple tasks at once and prioritize competing deadlines
  • Excellent organization skills and attention to detail
  • Strong project management skills.

  • Proficiency with procurement and workflow systems (e.g., ServiceNow) and e-signature tools (e.g., DocuSign); comfort adopting new technologies, including AI tools, to improve efficiency.
  • Strong sense of accountability, taking ownership over projects and responsibilities and resolving issues proactively.

Responsibilities

  • Prepare and issue purchase orders; gather and route required spend/PO approvals in accordance with the Firm's signature authority and approval thresholds.
  • Source and procure designated products, equipment, and supplies (incl. stationery); act as point of contact with vendors and resolve product/service issues between offices and vendors. Obtain tactical and spot quotes from vendors; compare pricing and confirm the Firm is receiving competitive terms on routine purchases.
  • Respond to internal stakeholder questions on purchasing processes, standard products, and how to submit requests. Coordinate with internal stakeholders to understand purchasing needs and ensure requests are fulfilled smoothly.
  • Manage the Firm's business card ordering process end to end — point of contact for requests, proofs, vendor coordination, and delivery.
  • Serve as a primary point of intake, triage, and resolution for procurement service requests submitted through the Firm's ServiceNow ticketing system, ensuring timely and accurate handling.
  • Continually identify opportunities to streamline, standardize, and automate routine procurement tasks — including using approved AI tools — to improve turnaround time and efficiency.
  • Maintain and update records in the Firm's ServiceNow Contract Management System (CMS), ensuring data accuracy and completeness.
  • Facilitate and track the signature process for assigned agreements using DocuSign, coordinating with the responsible team members and following up to secure completion; upload fully executed agreements into the contract management system.
  • Collect and route non-disclosure agreements (NDAs) for signature as needed.
  • Consistently promote and model the Firm’s Client Service Principles in leadership, teamwork, work product, and personal interaction.
  • Ensure compliance with the Firm’s Information Handling Policy, including safeguarding confidential and personal information, and reporting any suspected breach appropriately and immediately.
  • Ensure compliance with the Firm’s risk management policy relating to gifts from clients and vendors.
  • Adhere to the Firm’s General Safety Practices and any unique safety practices for department and building.
