About The Position

Island Energy Services (IES) is seeking a Procurement Specialist to manage procurement and purchasing activities. The role involves implementing a new Contract Lifecycle Management (CLM) program for the first six to nine months. The ideal candidate will possess strong technical procurement and supplier expertise, with a high degree of accuracy, attention to detail, and the ability to work independently in a fast-paced environment. Advanced knowledge of Microsoft Office Suite is required, and prior experience in refinery or manufacturing industries is preferred.

Requirements

  • Minimum five years of experience in heavy volume procurement functions.
  • Experience with purchasing, inventory management, logistics coordination, supplier management, and invoice reconciliation preferred.
  • Proven experience in multi-tasking of work projects.
  • Knowledge of procurement best practices, purchasing procedures, contract administration, and supply chain management.
  • Ability to analyze quotations, negotiate pricing and delivery terms, and manage supplier relationships.
  • Ability to review and reconcile purchase orders, receiving documentation, and vendor invoices.
  • Strong organizational skills with the ability to manage multiple procurement activities and competing project deadlines.
  • Understanding of freight, shipping, and logistics coordination.
  • Ability to uphold to strict ethical standards: integrity, objectivity, and confidentiality.
  • Proficient Microsoft Office Suite skills, including editing and proofreading.

Responsibilities

  • Prepares letters and documents related to procurement, including RFPs, RFQs, purchase orders, and contract amendments.
  • Coordinates bid package activities with project managers to ensure adherence to IES policies and procedures.
  • Sources materials, equipment, supplies, and services by evaluating vendors, negotiating pricing and terms, and issuing purchase orders.
  • Monitors supplier performance, tracks order status, resolves delivery issues, and ensures timely delivery of goods and services.
  • Coordinates logistics activities such as shipping, receiving, freight, and material distribution.
  • Reviews supplier invoices for accuracy and compliance with purchase orders before payment processing.
  • Manages relationships with contractors, vendors, suppliers, and service providers.
  • Reviews contractor and vendor documentation to ensure compliance with permits, licenses, insurance, and qualifications.
  • Maintains procurement, contract, and vendor records.
  • Serves as the key administrator for the company's contract lifecycle management program.
  • Monitors supplier performance, costs, and contract compliance, identifying areas for improvement.
  • Collaborates with various departments to ensure timely procurement and delivery of materials and services.
  • Works effectively with coworkers, sharing ideas constructively and keeping commitments.
  • Maintains a high standard of safety and complies with all safety policies.
  • Maintains commitment to compliance with all IES policies and procedures.
