•$162,000 - $180,000•Hybrid

About The Position

OpenAI is seeking a Procurement Operations Specialist to support subcontracting and intercompany purchasing and payment coordination for its growing deployment business. The role keeps agreements, staffing changes, and purchase order (PO) funding aligned, and conducts the research, supplier communication, and follow-through required to resolve issues. Accounts Payable (AP) handles invoice processing and payments, while Accounting owns accounting decisions. The specialist manages subcontracting workflows in the deployment operations platform and uses OpenAI technology to automate repeatable steps. The role combines hands-on operations with building and testing practical AI workflows to improve speed, accuracy, and service as the business grows. It follows a hybrid work model in San Francisco, with three days per week in the office, Monday through Wednesday.

Requirements

  • Hands-on experience in procurement, procure-to-pay, finance operations, or a related field, with a record of independently following work through to completion.
  • Understanding of how agreements, approvals, PO funding, invoices, and payments connect.
  • Ability to investigate discrepancies, explain findings to suppliers, and coordinate supported resolutions with AP and Accounting.
  • Practical AI fluency and experience improving workflows with automation, including the ability to show what was built, how results were validated, and what improved.
  • Confidence working with spreadsheets and procurement or ERP systems, investigating transaction and workflow issues, and coordinating fixes with system owners.
  • Ability to build trust through responsive service, careful listening, and proactive communication with employees, suppliers, and stakeholders.
  • Sound judgment when information is incomplete or requests are urgent, and consistent follow-through to resolution.

Responsibilities

  • Coordinate subcontracting and purchasing from intake through completion, including preparing agreement and amendment inputs, tracking reviews and signatures, and executing approved PO requests and changes.
  • Translate staffing, scope, term, and engagement-value changes into coordinated updates to agreements, PO funding, and billing schedules, while keeping source documents connected to transaction records.
  • Research and remediate supplier issues across contracts, POs, invoices, and payments; identify causes, obtain corrections, keep suppliers informed, provide AP with supporting evidence, and follow issues through resolution.
  • Serve as the primary contact for intercompany invoice and payment status; follow up with approvers, investigate stalled handoffs, and coordinate procurement and ERP system issues with AP, Accounting, and Finance Systems through resolution.
  • Own subcontracting workflow requirements for the deployment operations platform.
  • Build practical AI support for intake, term extraction, draft preparation, record comparisons, and exception research; test outputs against current sources and validate calculations.
  • Partner with Procurement Enablement and Finance Systems to improve workflows and integrations.
  • Measure cycle time, rework, issue aging, and time saved, and use the results to prioritize improvements.
