About The Position

The Faculty of Arts & Science is seeking a Procurement and Financial Assistant for the Acceleration Consortium (AC) at the University of Toronto. The AC is a global community focused on accelerating scientific discovery and technology development using AI, robotics, and materials sciences to create self-driving laboratories. This role will provide essential support for the AC labs' procurement needs and financial tasks, reporting to the Director, Administration and working under the guidance of the Lab Manager. The position involves providing daily guidance on procurement policies to staff scientists and technicians, offering technical guidance for purchases under $50,000, maintaining inventory and purchase databases, organizing purchasing documentation, processing accounts payable and expense reimbursements, and recording transactions in FIS. This is a one-year term position with the possibility of renewal.

Requirements

  • Bachelor's Degree in Chemistry, Computer Science and/or Science.
  • Minimum three years of recent and related experience with purchasing and or procurement of scientific equipment
  • Experience using scientific knowledge and technical requirements to collect and evaluate quotes for purchases of equipment, consumables suppliers and external vendors
  • Experience in processing and reconciling purchase card statements and debit memos
  • Experience in processing accounts payable, journal entries and expense reimbursement
  • Experience in maintaining, tracking and assessing inventory data and generating reports
  • Demonstrated experience coordinating negotiation processes and service contracts with suppliers and external vendors
  • Experience creating new processes/systems for purchasing/procurement
  • Experience in recording transactions, such as invoice transactions
  • Experience with FIS and/or an inventory management system/database
  • Excellent written and verbal communication skills, along with demonstrated customer service skills including diplomacy and tact
  • Ability to work effectively in a fast-paced environment with strict deadlines
  • Demonstrated commitment to equity, diversity, inclusion and the promotion of a respectful and collegial learning and work environment
  • Strong skills with FIS and MS Office, including Word, Excel, Outlook

Responsibilities

  • Reconciling purchasing card statements
  • Issuing purchase requisitions
  • Analyzing and evaluating quotations
  • Liaising with internal and external contacts to facilitate purchasing and/or procurement processes
  • Verifying that University procurement and related policies are followed
  • Coordinating the shipping and/or receiving of goods
  • Acting as a first point of contact for purchasing enquiries
  • Recording detailed transactions for many accounts
