About The Position

The Utah Division of Licensing and Background Checks is seeking a highly motivated and detail-oriented Process Specialist to join our team. In this role, you will be responsible for providing exceptional customer service, processing applications, maintaining accurate records, and ensuring the efficient flow of communication. If you have a passion for delivering excellent customer service, staying organized, and contributing to a collaborative team environment, this role is a perfect fit for you. This position requires you to be in the office Tuesday-Wednesday at our Salt Lake City office (195 N 1950 W).

Requirements

  • Excellent verbal and written communication skills, with the ability to explain complex processes clearly and politely to the public via phone and email.
  • Proven ability to review dense documents, spot errors or missing information, and maintain highly accurate records.
  • Strong computer skills, including experience with data entry, database management, and standard office software (e.g., Microsoft Office Suite, Google Workspace).
  • Ability to handle difficult customer service situations with patience, empathy, and professionalism.
  • Strong organizational skills with a demonstrated ability to manage an independent caseload, prioritize tasks, and meet strict deadlines.
  • A collaborative mindset with a willingness to assist team members and division staff to achieve shared goals.
  • Ability to take responsibility for assigned tasks and decisions to ensure reliable and consistent performance.

Responsibilities

  • Process new provider applications, license renewals, and change requests from submission to completion.
  • Review and process submitted documentation to ensure accuracy, completeness, and compliance with licensing standards.
  • Handle fee entries and financial processing associated with applications.
  • Act as the primary point of contact for applicants, guiding them through the licensing process and providing status updates.
  • Deliver high-quality customer service by responding to inquiries via phone and email regarding licensing requirements, application steps, and general information.
  • Effectively manage and prioritize an independent caseload to ensure timely processing and meet division deadlines.
  • Collaborate with coworkers and provide administrative support to team and division staff to maintain efficient operations.
