About The Position

The Procedural Scheduler is responsible for authorizing and scheduling a minimum of 50 cases per day and will liaise with a number of referring doctors’ offices. The Scheduling department is the first point of contact with the surgeon offices and manage booking all surgical cases at multiple facilities.

Requirements

  • High School diploma or equivalent
  • 2 years of previous experience scheduling appointments and/or surgeries
  • Experience with insurance
  • Knowledge of clinic policies and procedures
  • Knowledge of managed care contracts and utilization
  • Knowledge of computer systems, programs and spreadsheet applications
  • Knowledge of medical terminology and be familiar with scheduling software
  • Skill in gathering and reporting claim information
  • Skill in solving utilization problems
  • Skill in written and verbal communication and customer relations
  • Flexibility to tailor schedule to MD needs in regards to travel and office hours
  • Experience in a medical office as a scheduler
  • Fast and accurate data entry
  • Service oriented, patient demeanor
  • Ability to multi-task, manage time effectively, and deliver results
  • Strict attention to detail
  • Intermediate computer skills and knowledge of Microsoft Office
  • Ability to work effectively with medical staff and external agencies
  • Ability to identify, analyze and solve problems
  • Ability to deal courteously and professionally with internal and external customers
  • Ability to provide excellent customer service
  • Ability to work 35-40 hours per week based on MD needs
  • Able to read, write and communicate in English
  • Have cognitive skills for math, decision making and excellent communication skills
  • Work in a temperature-controlled environment
  • Potential for contact with chemicals, blood borne pathogens, and exposure to infectious disease.
  • Able to lift 25 pounds using proper lifting techniques several times during shift

Responsibilities

  • Authorizing and Scheduling pain cases and surgeries for single pain physicians and team
  • Ability to use computer based scheduling programs, excel worksheets, and email
  • Required to gather detailed information on patient demographic when scheduling
  • Must be capable of multi-tasking and working with a diverse patient population
  • Travel with physician to multiple locations to better coordinate patient care (on site order entry, including blood thinner hold requests, and potential auto-approval)
  • Responsible for Pain Pump Orders and Communication
  • Schedule manipulation based on MD need and facility availability
  • Coordination with multiple device reps and vendors for procedures and surgeries
  • Other duties as needed
