About The Position

Coolidge Wall Co., L.P.A., is currently recruiting a Probate Paralegal who is looking to join an established team of respected attorneys in our Dayton, Ohio location. The Probate Paralegal will support attorneys in all phases of trust, estate, and probate administration, including case management, court filings, client communication, asset collection and transfer, and preparation of related legal documents. Coolidge Wall has a large secretarial support staff to assist in making our attorneys and paralegals highly productive.

Requirements

  • Paralegal certificate or associate’s degree with 5+ years’ experience in probate, estate administration, and trust administration
  • Must have recent experience with probate administration in Ohio
  • Experience preparing federal estate and gift tax returns
  • Strong knowledge of probate procedures, court filings, deadlines, and legal documentation
  • Exceptional attention to detail, strong organizational skills, and problem-solving skills
  • Ability to work independently, multi-task, manage competing priorities, and collaborate effectively with attorneys and staff
  • High proficiency in the use of Microsoft Office software, specifically Excel, probate and trust administration software, and tax preparation software
  • Familiarity with probate case management systems and document management platforms (i.e. Estate Assist, GEMS, NetDocs)
  • Strong written and verbal communication skills

Responsibilities

  • Assist with all phases of trust administration, testamentary trusts, and estate administration matters from opening through closing
  • Prepare, file, and coordinate services of probate pleadings, applications, notices, inventories, accountings, and final distribution documents
  • Prepare error-free and court-ready probate documents with a high level of accuracy
  • Communicate with clients, beneficiaries, courts, financial institutions, title companies, government agencies, CPAs, and other third parties regarding estate matters
  • Assist with identifying, collecting, valuing, transferring, and distributing estate and trust assets
  • Assess and manage creditors’ claims, payment coordination, and preparation of related documentation
  • Prepare federal estate tax returns
  • Monitor and manage case progress and checklists, deadlines, and track required follow-up to ensure timely completion and fulfillment of deadline requirements
  • Prepares and records deeds and other real property transfer documents
  • Assists with preparation of guardianship and conservatorship petitions
  • Ensures compliance with probate court procedures, local rules, and filing requirements
