About The Position

The Probate Clerk Assistant position is a multifaceted role that provides essential support to the Probate Court and the public. The primary responsibility is managing and maintaining various court files, including those for guardianships, estates, adoptions, civil commitments, and small estate cases. A significant part of the job involves opening and setting up new cases, handling subsequent electronic filings, and accurately following instructions from attorneys. This includes tasks like copying, emailing, and faxing documents, as well as publishing legal notices and issuing official letters as ordered by the court. The position also involves direct interaction with the public, requiring strong customer service skills. Daily duties include answering phone calls, routing calls to the correct department, and providing various administrative services such as: Registering voters, Issuing marriage licenses, Registering minister’s credentials and "Doing Business As" (DBA) filings, Providing notary services. Additionally, during election periods, the role shifts to provide support for the Elections department. This includes proofing data and preparing election supplies. They also provide voter support to election workers during both Early Voting and on Election Day as well as assist the public. In short, this position is a blend of detailed clerical work, public-facing customer service, and critical support for both the court and the elections process.

Requirements

  • High school or GED, plus specialized schooling and/or on the job education in a specific skill area such as data processing, clerical/administrative, etc., plus 2 years related experience and/or training, or equivalent combination of education and experience.
  • Ability to read and understand documents such as policy manuals, safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees.
  • Advanced: Word Processing/Typing
  • Intermediate: Must have experience in Excel, Word, and other software products of Microsoft Office, 10-Key, Presentation/PowerPoint
  • Regular use of complex machines and equipment (desktop/laptop computer and software, etc.).
  • Customer service skills

  • Able to work well under pressure while meeting deadlines.
  • Knowledge of modern office practices, procedures, and equipment.

Nice To Haves

  • Certified Court Clerk through Arkansas District and City Court Clerks Association (within 3 years of hire)
  • Attend Clerk's Conference for continuing education on matters dealing with probate and EQ.

Responsibilities

  • Answer phone and route calls to appropriate personnel or assist as needed.
  • Open probate files, scan all initial documents and maintain e-filing.
  • Issue marriage licenses, register minister credentials, as well as DBA's.
  • Register Voters and make changes in the voter system under the direction of the Voter Registrar.
  • Provide Notary Services.
  • Assist researchers in Probate and County Court Records.
  • Count down the money drawer at the end of the day and run reports.
  • Assist in preparation of training materials for election workers; vote center supply boxes, provisional bags and other election documents.
  • Assist in performing testing on all voting equipment.
  • Assist in proofing data and ballots for elections.
  • Assist in candidate filings.
  • Assist with training of election workers.
  • Provide support during Early and Election Day voting.
  • Perform any other related duties as required or assigned.

  • Bilingual pay of $2,080 is available once proficiency has been established.
