About The Position

The Private Event Sales Coordinator is responsible for preparing sales-related documents, promoting brand awareness, and assisting the management team with revenue and marketing programs. This role involves developing and implementing social media and beverage promotional initiatives, managing sales software, and serving as a primary point of contact for clients. The coordinator will also handle guest inquiries, coordinate event reservations, and perform general office duties to support sales and room service operations. Additionally, the position requires adherence to company policies, maintaining professional appearance, protecting company assets, and ensuring guest satisfaction through exceptional service standards.

  • High school diploma or G.E.D. equivalent.
  • At least 1 year of related work experience.
  • No supervisory experience.

Responsibilities

  • Prepare sales-related documents such as proposals, contracts, and banquet event orders.
  • Promote brand awareness internally and externally.
  • Assemble information packages including brochures and promotional materials.
  • Utilize sales techniques to maximize revenue and maintain guest loyalty.
  • Assist the management team in developing and executing revenue and marketing programs for all outlets and room service.
  • Develop, coordinate, and implement social media initiatives and beverage promotional programs.
  • Enter, retrieve, reconcile, and verify information in sales software.
  • Answer guest questions about property facilities and services.
  • Serve as the point of contact for clients, responding to inquiries via phone and email.
  • Coordinate reservation confirmations for special and holiday events for parties of six or more.
  • Coordinate the selling of food and beverage in hospitality suites through the Room Service Department.
  • Perform general office duties such as filing, sending emails, typing, faxing, and copying.
  • Report accidents, injuries, and unsafe work conditions to the manager.
  • Follow all company policies and procedures.
  • Ensure personal appearance is professional and maintain confidentiality of proprietary information.
  • Protect company assets.
  • Welcome and acknowledge guests according to company standards.
  • Anticipate and address guests’ service needs.
  • Thank guests with genuine appreciation.
  • Speak with others using clear and professional language.
  • Prepare and review written documents accurately and completely.
  • Answer telephones using appropriate etiquette.
