Requirements

  • Bachelor’s degree
  • 3-5 years professional experience
  • 1-2 years in the Private Funds/Private Capital space
  • Proficiency in fund administration tasks and related processes
  • Proficiency in Excel and Word
  • Ability to maintain uncompromising levels of confidentiality
  • Ability to interact with all people in a polite manner and positive attitude

Responsibilities

  • Coordinate capital calls with Fund Manager/Compliance and execute payments
  • Manage fund redemptions and distributions, including bulk journals and wires
  • Monitor and follow up on missed capital calls with subscribers or internal teams
  • Maintain cash positions (e.g., SGOV) and oversee capital movement
  • Pay fund-related invoices and expenses
  • Support quarterly valuation reviews and distributions with Compliance
  • Oversee SUBSCRIBE platform: add new fund documents, maintain open funds, and ensure accuracy
  • Partner with SUBSCRIBE service team to set up, test, and validate documents and disclosures
  • Develop and manage processes for subscriptions executed outside of SUBSCRIBE
  • Notify departing clients of subscription status, obligations, and update contact details
  • Complete subscription documents for underlying funds
  • Serve as primary point of contact for internal fund-related inquiries
  • Coordinate regulatory filings (Blue Sky, FinCEN BOI, CFTC exemptions, etc.)
  • Work with fund counsel to respond to state information requests
  • Obtain EINs and coordinate brokerage account setup with new accounts team
  • Support setup of subscription lines for investment vehicles
  • Coordinate creation of fund legal documents (PPM, LPA, subscription docs, registrations)
  • Ensure ongoing compliance, including Access Manager LLC state license renewals
  • Distribute consolidated fund status and pipeline updates to internal teams
  • Maintain fund pages and Private Client (PC) data in Salesforce
  • Coordinate preparation and distribution of K-1s with tax teams
  • Serve as liaison between internal teams, fund managers, and external partners
  • Coordinate annual audits for client distribution with external partners
  • Lead the Quarterly Private Funds Operations Committee
  • Support the CCO on compliance and risk management related projects
