About The Position

The Private Banking Specialist provides high-level administrative and client service support to Private Bankers and Wealth Advisors. This role assists in managing client relationships, coordinating account services, preparing documentation, and ensuring a seamless experience for high-net-worth clients. The position requires professionalism, discretion, attention to detail, and the ability to work collaboratively across departments to deliver exceptional service.

Requirements

  • Bachelor’s degree in business, finance, or related field preferred.
  • 2+ years of experience in banking, wealth management, or client service (private banking experience a plus).
  • Strong attention to detail, organization, and follow-through.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and bank CRM/core systems.
  • Professional client-facing demeanor with the ability to interact with executives and affluent clients.
  • Proficient understanding of bank products and services.
  • Familiarity of private banking operations and documentation (wires, account openings, KYC/AML).
  • Knowledge of regulatory and compliance requirements for high-net-worth clients.
  • Ability to handle confidential and sensitive information with discretion.
  • Ability to handle multiple client requests with urgency and accuracy.
  • Ability to prioritize and support multiple bankers or advisors simultaneously.
  • Ability to work additional or non-standard hours as needed to meet deadlines or respond to other situations requiring extended availability.

Responsibilities

  • Serve as a key point of contact for private banking clients, providing responsive, courteous, and professional service.
  • Assist with client inquiries, account maintenance, problem resolution, and follow-up.
  • Coordinate client meetings, prepare materials, and ensure timely completion of action items.
  • Maintain a thorough understanding of client accounts and preferences to provide personalized support.
  • Gather and verify required documentation for new accounts, credit requests, and wire transfers.
  • Ensure all client records and files are maintained in compliance with bank policies and regulatory standards.
  • Track and follow up on pending transactions, documents, and client requests.
  • Prepare reports, client summaries, and data for portfolio and relationship reviews.
  • Coordinate with internal departments (loan operations, deposit operations, compliance, and trust) to ensure smooth service delivery.
  • Assist in onboarding new clients and facilitate transitions between departments when needed.
  • Adhere to all internal controls, policies, and procedures including KYC, BSA/AML, and privacy regulations.
  • Maintain strict confidentiality of client and bank information.
  • Identify and escalate any unusual account activity or potential risks.
  • Support department initiatives, events, and client communications.
  • Participate in internal training and stay current on product offerings, policies, and compliance updates.
  • Ensure compliance with all bank policies and procedures, as well as all applicable state and federal banking regulations.
  • Ensure the confidentiality and security of customer information, bank information, proprietary information, and sensitive information.

  • Perform the position safely, without endangering the health or safety of yourself or others, and report potentially unsafe conditions to management. Comply with occupational safety and health standards and all rules, regulations, and orders issued pursuant to the OSHA Act of 1970 that are applicable to one’s position at the bank.
  • Possess and maintain a current driver's license and a vehicle with appropriate insurance coverage. Both are required to drive while performing assigned duties and responsibilities.
  • Possess and maintain adequate skills in computer operation, including email, word processing, spreadsheet, and specialty software programs.
  • Possess and maintain adequate typing skills to meet the needs of the position.
  • Possess and maintain adequate math skills to meet the needs of the position. This may include the ability to count currency and coin, calculate interest, balance accounts, add, subtract, multiply, and locate routine mathematical errors.
  • Practice effective and efficient organizational and time management skills.
  • Be able to work with general supervision while performing duties.
  • Use effective oral, written, and interpersonal communication skills. This includes the ability to apply common sense when carrying out instructions, interpreting documents, understanding procedures, writing reports and correspondence, and speaking clearly to customers and employees.
