About The Position

We are seeking a detail-oriented and organized Records and Information Management (RIM) Specialist to join our team. This role will focus on managing and maintaining on-premises and off-site records inventories, as well as supporting electronic inventory discovery efforts. The ideal candidate will ensure compliance with corporate policies, legal and regulatory requirements, and industry’s best practices. This position plays a key role in supporting the organization's information governance framework and ensuring the efficient lifecycle management of records and information assets.

Requirements

  • Typically requires a University Degree and minimum 5 years prior relevant experience or an Advanced Degree in a related field and minimum 3 years of experience

Nice To Haves

  • Bachelor’s degree in Information Management, Library Science, Business Administration, or a related field, or equivalent experience.
  • 2 - 4 years of experience in records and information management or related discipline.
  • Familiarity with records retention schedules, information governance principles, and regulatory requirements.
  • Experience working with records management software and electronic records discovery tools is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent communication and collaboration skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Certification in Records and Information Management (e.g., Certified Records Manager (CRM) or Information Governance Professional (IGP)) is a plus.
  • Knowledge of industry standards such as ISO 15489, ARMA principles, or similar frameworks.

Responsibilities

  • Conduct regular audits and updates of physical records inventories stored on-site.
  • Classify, label, and organize records in accordance with the organization's classification and retention schedules.
  • Coordinate the secure storage, retrieval, and disposition of records.
  • Manage records stored at off-site facilities, including tracking inventory, updating records databases, and ensuring compliance with retention schedules.
  • Coordinate with off-site storage vendors to facilitate records retrieval, delivery, and secure disposal.
  • Ensure off-site records are inventoried and documented accurately.
  • Participate in electronic records discovery processes, identifying and cataloging digital records across various systems and platforms.
  • Assist in implementing electronic records and information management solutions, including metadata tagging and indexing.
  • Collaborate with IT and other departments to identify and address gaps in electronic records management practices.
  • Apply the organization’s records retention schedule to ensure proper lifecycle management of records.
  • Facilitate the secure and compliant transfer or destruction of records that have met their retention requirements.
  • Document and maintain disposition activities for audit and regulatory purposes.
  • Ensure adherence to legal, regulatory, and corporate policies related to records and information management.
  • Assist in creating and updating RIM policies, procedures, and training materials.
  • Provide guidance and support to employees on proper records handling and management practices.
  • Work closely with departments and stakeholders to provide RIM expertise and support their records management needs.
  • Help train employees on RIM policies, tools, and best practices.
  • Act as a resource for records-related inquiries and issues.
  • Maintain accurate records inventory databases and generate reports on records management activities.
  • Track and report on compliance with records retention policies and procedures.
  • Monitor trends and recommend process improvements to enhance the efficiency and effectiveness of the RIM program.
