That’s why our team is looking to add an Administrative Support Assistant III. The administrative professional in this role will perform a wide range of essential functions to drive organizational efficiency in a fast-paced tech-savvy environment. Responsibilities include strategically managing complex executive schedules, coordinating travel arrangements, preparing expense reports, and facilitating clear, professional communications. Additionally, team ambassadors provide polished written deliverables through effective proofreading and meticulous attention to detail. An adaptable professional, you effectively prioritize and manage shifting demands. You demonstrate resourcefulness and sound judgment when managing tasks independently, applying core problem-solving skills to ensure seamless operations. Serving as a reliable liaison for senior leadership, you maintain high operational standards and contribute directly to the efficiency and success of the team.

Requirements

  • High School Diploma, GED or equivalent certification
  • At least 2 years of Administrative experience
  • At least 2 years of experience in Google Suite (Google Docs, Sheets, Slides, Drive)

Nice To Haves

  • Associates Degree
  • At least 5 years of experience as an Executive Assistant or Administrative Assistant in a fast-paced environment
  • At least 3 years of calendar management supporting multiple executives
  • At least 1 year of meeting and event planning experience
  • At least 1 year of experience setting up video conference and Zoom or Skype technology for meeting user
  • At least 1 year of experience planning ahead and managing time effectively

Responsibilities

  • Manage daily calendars for 4-6 executives, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes
  • Arrange and reserve conference rooms, catering, audio/video and other essential services as needed for meetings and conferences
  • Coordinate travel arrangements and create expense reports in a timely manner using Capital One systems
  • Drive key team activities and events (such as all-hands meetings, team meetings, conferences, ordering supplies and social events)
  • Prepare professional business communication documents including memos, letters, and emails
  • Build and maintain good business relationships with executives and administrative staff across organizations
  • Participate in general administrative duties (copying), distributing mail, ad-hoc projects, committees and/or group events
  • Promote a fun and team-oriented work environment
