About The Position

The Principal Commercial Coordinator serves as the operational partner to the Vice President of Commercial, providing executive support while coordinating commercial operations, business development activities, reporting, and cross-functional initiatives across the global organization. This role ensures commercial priorities, executive meetings, project pursuits, reporting activities, and strategic initiatives are executed efficiently and aligned with business objectives. This position supports the commercial organization by coordinating internal communications, managing commercial documentation, facilitating executive and stakeholder meetings, and ensuring timely follow-up on key actions and business priorities. The role provides operational and administrative support throughout the sales lifecycle, helping to ensure commercial opportunities, proposals, forecasts, and related activities are managed accurately and effectively. The position also plays a critical role in maintaining commercial systems and reporting processes, supporting data integrity, business insights, and executive decision-making through the preparation of reports, dashboards, and performance metrics. This position is an individual contributor role. The role directly reports to the VP Commercial and routinely interacts with Global Business Leads, Functional Managers, External Vendors, and Cross-Functional Teams.

Requirements

  • High School Diploma or equivalent required.
  • Advanced knowledge of MS Office and other related software skills required.
  • Advanced skills in operating a personal computer, various printers, fax machines, scanners, and other office equipment are necessary.

Nice To Haves

  • Bachelor’s degree in business administration or equivalent business experience preferred.
  • 5-8 years of relevant work experience preferred.
  • Experience in supporting senior leaders, commercial organizations, and business operations preferred.
  • Experience with Power BI, Smartsheet, CRM systems, or similar reporting platforms preferred.

Responsibilities

  • Own and administer commercial reporting processes to ensure accurate and actionable business intelligence.
  • Develop and maintain executive dashboards, scorecards, and commercial reporting packages.
  • Analyze and monitor key performance indicators, including but not limited to: Hit Rates, Win Rates, Pipeline Health, Sales Forecasts, Backlog Performance, Product Line Performance, and Commercial trends and growth metrics.
  • Prepare executive summaries and provide insights that support strategic planning and decision-making.
  • Identify trends, risks, and opportunities through data analysis and reporting.
  • Consolidate global sales and commercial performance data from multiple regions.
  • Identify missing information and proactively follow up with stakeholders.
  • Administer and maintain the Commercial Sales System (CSS) and related commercial databases.
  • Ensure opportunity, pipeline, forecast, customer, and backlog information is accurate, complete, and up to date.
  • Monitor data quality and follow up with stakeholders to resolve reporting gaps and discrepancies.
  • Support ongoing improvements to data governance and system utilization.
  • Coordinate Global Gate Review meetings and other commercial governance processes associated with major project pursuits and contract approvals.
  • Manage meeting logistics, schedules, agendas, presentations, and supporting documentation.
  • Track decisions, approvals, and follow-up actions to ensure timely completion.
  • Coordinate meetings across multiple regions and time zones.
  • Partner with Business Development Managers to support commercial initiatives.
  • Provide proactive operational support to the Vice President of Commercial.
  • Manage executive calendars, meeting schedules, priorities, communications, and follow-up actions.
  • Prepare executive presentations, briefing materials, meeting agendas, and supporting documentation.
  • Coordinate leadership meetings and ensure timely distribution of information and action items.
  • Maintain confidentiality and professionalism when handling sensitive business information.
  • Coordinate domestic and international travel as needed.
  • Identify opportunities to improve commercial processes, reporting accuracy, and operational efficiency.
  • Develop and maintain reporting templates, tracking tools, and standard operating procedures.
  • Support implementation of process enhancements and best practices across the Commercial organization.
  • Promote consistency and standardization of commercial reporting and workflow processes.
  • Collaborate with Finance, Marketing, Legal, and Operations as needed.
  • Coordinate CB&I participation at Gastech.
  • Partner with Marketing to register approximately 35 attendees.
  • Coordinate hotel accommodations and executive itineraries.
  • Schedule customer meetings between Business Development Managers and clients.
