About The Position

UCI Health is a large academic health system in California, part of the University of California, Irvine. It includes multiple hospitals and a network of care centers. UCI Health is home to the county's only National Cancer Institute-designated comprehensive cancer center, a Level I adult and Level II pediatric trauma center, and a nationally recognized burn center. It serves a large population through patient care, research, and medical education. The Principal Admitting Worker is responsible for scheduling clinic patients for surgery and diagnostic procedures. This role ensures all necessary paperwork is completed and sent to the correct departments. The incumbent will verify that the patient's funding source covers the proposed procedure, check expiration dates, and confirm that physician documentation supports the need for the surgery or procedure. They will obtain surgery/procedure dates and times based on physician availability and operating room schedules. Effective communication with patients is crucial for gathering demographic and financial data. The role also involves providing accurate wait time estimates, acting as a liaison between admissions, other departments, and the operating room, and notifying relevant parties of any rescheduling. Data entry of demographic and financial information into the SMS System is also a key responsibility.

Requirements

  • Previous experience with computer registration and registration scheduling system
  • Must possess the skill, knowledge and ability essential to the successful performance of assigned duties
  • Must demonstrate general understanding of medical terminology
  • Must demonstrate customer service skills appropriate to the job
  • Must be able to travel to off site physician practices
  • Minimum one (1) year recent experience (within past two (2) years) registering patients in a hospital or clinic, working as a Medical Assistant, or working in medical billing
  • General knowledge of ICD9 and CPT codes
  • Excellent written and verbal communication skills in English
  • Demonstrated experience using MS Office
  • Ability to work weekends, holidays, and evenings
  • Ability to maintain a work pace appropriate to the workload
  • Ability to interpret and understand various medical insurance plans and make accurate determinations regarding coverage
  • Ability to establish and maintain effective working relationships across the Health System
  • Must be able to provide proof of work authorization

Responsibilities

  • Scheduling clinic patients for surgery and diagnostic procedures.
  • Ensuring all necessary paperwork is completed and forwarded to appropriate departments.
  • Determining if the patient's source of funding covers the proposed surgery/procedure and inquiring about expiration dates.
  • Determining that physician documentation reflects the need for the proposed surgery/procedure.
  • Obtaining surgery/procedure date and time based on physician availability and operating room schedule.

  • Notifying departments, services, physicians, and the patient if surgery/procedure date/time is rescheduled and updating all as necessary.
  • Inputting demographic and financial data into the SMS System following basic computer flows and codes.
