About The Position

Waldorf School of the Peninsula is seeking a dedicated full-time Preschool Extended Care Lead and Camp Manager for our Los Altos campus, starting August 2026. This is a year-round position with hours from Monday through Friday, 10 am to 6 pm. This leadership role is integral to creating a thriving, supportive, and inclusive environment for the school community while ensuring the programs and camps align with the school’s mission and educational philosophy.

Responsibilities

  • Plan, develop, and implement Extended Care and Camp Programs, ensuring they meet the needs of students and families.
  • Oversee the development and enhancement of camp programming in conjunction with the Pedagogical Administrator.
  • Plan and coordinate program budgets, monitor revenue and expenses, and ensure cost-effective procedures.
  • In collaboration with the K-5 Extended Care Lead, create and manage program marketing, including registration processes, catalogs, advertisements, brochures, and website updates.
  • Coordinate participant recruitment and respond promptly to inquiries regarding programs.
  • Identify, recruit, train, and supervise program and camp staff, including counselors, and volunteers.
  • Maintain a substitute pool and coordinate staff coverage during absences.
  • Provide staff training, delegate responsibilities, and supervise daily operations, including child transitions and activities.
  • Approve staff schedules, coordinate substitutes when needed, and verify timesheets for approval.
  • Collaborate with the K-5 Extended Care Lead when planning Parent-Teacher Conference Care, Seasonal Camps (Winter, February, and Spring Camps), and the Summer Camp Program.
  • Supervise daily transitions from the school day to extended care and ensure the safe release of students to authorized adults.
  • Plan and implement registration and promotion for seasonal and summer camps in collaboration with administrative staff.
  • Develop weekly seasonal camp schedules, coordinate staff schedules, and ensure proper staffing levels.
  • Purchase and maintain an inventory of all program and camp supplies.
  • Oversee program contracts, including those with external organizations.
  • Provide on-campus supervision of all in-house camps, addressing staffing gaps as needed.
  • Oversee the safety and wellbeing of children and staff, ensuring adherence to camp policies and guidelines.
  • Monitor and address camp accidents or injuries promptly to ensure the safety of participants.
  • Maintain accurate attendance records and prepare incident reports when necessary.
  • Collaborate with the business office to collect payments, process invoices, and address billing inquiries.
  • Prepare financial reports and monitor program budgets to meet revenue and expense goals.
  • Create/Update Preschool Extended Care General Information and Agreement form ("contract") in collaboration with DFO.
  • Create/Update Preschool and Extended Care Information Packet and Google Form to establish Regularly-Scheduled care and select payment plan option.
  • Confirm schedule requests with families, send payment plan selections to Business Office for billing.
  • Create a roster for Preschool.
  • Create sign-in/out sheets with students' schedules for daily use.
  • Tally hours of usage by day from sign in sheets, enter data into billing in Ravenna.
  • Archive Sign In/Out sheets.
  • Monitor preschool reservecare@ email account As-Needed reservations, cancellations of care,and/or schedule changes, confirm with families on space-available basis, add new reservations daily to sign in sheet.
  • Produce forms, letters, and relevant documents for program and camp implementation.
  • Maintain program and camp databases and provide summary reports for stakeholders.
  • Collaborate with faculty and administration to share student observations and improve participant experiences.
  • Manage extended care during staff development days and teacher/parent conferences.
  • Attend to other duties as assigned to support the success of programs, camps, and the school community.
  • Provide support to the Early Childhood, as needed, during non-Extended Care hours (typically between 10:00 AM and 1:00 PM).
