About The Position

As a Pre-Construction Coordinator, you play a critical role in helping oversee, document, and manage administrative tasks related to building jobs for one or more scopes of work, including plumbing, HVAC, and electrical on new residential construction. You will serve as the primary bridge between our builder partners and field teams. In this role you will ensure all scopes are seamlessly transitioned from a builder’s purchase order into a completed, high-quality installation. This role requires a unique blend of skills, such as data interpretation, prioritization, workflow management, relationship building, and builder-specific ERP/management portal navigation.

Requirements

  • General computer proficiency, including Google Workspace (Sheets, Docs, Drive), estimating software and project management tools
  • Ability to multitask and manage time effectively under tight deadlines.
  • Excellent communication skills for engaging with builders, general contractors, field personnel, and other support departments.
  • Strong work ethic, attention to detail, and initiative in decision-making.
  • Flexibility to adapt to shifting priorities.
  • Basic understanding of estimating principles, including takeoffs, labor/material pricing.
  • Proactive at catching discrepancies in plans or POs that could lead to costly field errors.
  • Ability to work independently and manage a high volume of moving parts without constant supervision. Can actively contribute to team-based solutions.
  • Exceptional verbal and written skills.
  • Strong ability to identify financial or operational risks and mitigate them before they impact workflow

Responsibilities

  • Navigate various builder portals to pull Purchase Orders (POs), architectural plans, and work orders.
  • Translate builder data into internal software systems to create actionable jobs for field crews.
  • Ensure all POs accurately match the scope of work and contract pricing; resolve discrepancies before work begins.
  • Perform detailed material takeoffs and labor estimates for new mechanical jobs.
  • Analyze estimates to identify cost-saving opportunities.
  • Follow up on outstanding payments and help manage the billing lifecycle for your assigned accounts.
  • Price, submit, and track change orders to ensure all extra work is captured and compensated.
  • Maintain strong, proactive relationships with Builder Purchasing Managers and Site Superintendents.
  • A contact for field employees in helping gather information needed for a successful install.
  • Help assist warranty coordinators with warranty calls and homeowner communications, ensuring timely resolution of service requests and high satisfaction.
