About The Position

This position is 40 hours per week, Day Shift, from 8:00 am to 4:30 pm, Monday through Friday. The Pre-Admission Testing Coordinator is an integral member of the Surgical Services Department performing a wide range of administrative duties in support of the Pre-Admission Testing Department. This role requires strong interpersonal, verbal, and written communication skills, with a keen attention to detail and accuracy. The coordinator must possess strong organizational skills and the ability to prioritize tasks effectively. They will manage communications, act as a liaison between surgical offices and the PAT department, and demonstrate an excellent understanding of medical terminology and surgical procedures. The role involves various clerical duties, including order entry, requisition preparation, chart management, data entry, and charge processing. Critical thinking, problem identification, and solving activities are essential. The coordinator will compile and prepare data, collaborate with administrative and surgical teams, and ensure booking forms are complete. They will also assist with Preoperative COVID screening appointments and work within CWS to manage scheduled procedures or appointments. Maintaining a clean work area, participating in management performance improvement activities, and maintaining open communication with PAT leadership are also key aspects of the role.

Requirements

  • Excellent computer and organizational skills
  • Ability to work independently in a fast paced, dynamic work environment
  • Recent Pre-Anesthesia Testing experience required (scheduling procedures and understanding of surgical processes within CWS)
  • Must possess critical thinking and problem solving skills
  • Ability to concentrate and prioritize in a distracting environment
  • Medical Terminology required
  • Excellent customer service skills required; ability to interact positively with patients and families at all times; demonstrated appropriate phone etiquette
  • Computer Skills with MediTech, ORM, CWS, Word, Excel, Outlook
  • High School Diploma or equivalent required

Responsibilities

  • Manages verbal and written communications; including telephone calls, communications/reports, and transcription and distribution of meeting minutes.
  • Acts as a liaison between Surgical Offices and the PAT Department to facilitate improved communication.
  • Demonstrates excellent understanding of medical terminology and surgical procedures.
  • Performs various clerical duties, including order entry, lab/radiology requisitions, making patient charts, data entry, charges, registration, data collection and statistics as needed.
  • Demonstrates proficiency and knowledge in critical thinking, problem identification and solving activities.
  • Compiles and prepares data related to the PAT Department as requested.
  • Collaborates with administrative and surgical team members and leadership on a regular basis.
  • Ensures all booking forms are complete prior to booking or returns to surgical offices for further clarification.
  • Assist with Preoperative COVID screening appointments as indicated
  • Works within CWS to prepare and/or modify scheduled procedures or appointments as indicated.
  • Maintains a clean and orderly work area
  • Participates in department based management performance improvement activities
  • Maintains open communication with PAT leadership.
