With over 140 employees and 5 locations, SpaDerma is expanding its support team at its North Shore office in Wilmette. This is an entry-level, full-time role (36+ hours/week) offering exposure to the medical esthetics field in a positive, fast-paced culture that values attention to detail and customer service. The role requires flexibility in hours, including at least one weekend day shift and one closing shift weekly.

Requirements

  • Strong typing skills and proficiency in Google Suite.
  • Excellent organizational and multitasking skills.
  • Professional and polished presentation.
  • Experience with customer service and sales.
  • Ability to collaborate with a team.
  • 1+ years of customer service and sales experience.
  • 1+ years of healthcare or hospitality experience.

Nice To Haves

  • Knowledge of medical spa services and products.
  • 1+ years of medspa experience.

Responsibilities

  • Greeting patients and providing excellent customer service and phone etiquette.
  • Utilizing booking software for check-outs, appointment scheduling, and sales tracking.
  • Completing daily auditing reports for scheduling, transactions, and device availability.
  • Maintaining a clean and sanitized spa area, including laundry and minor cleaning duties.
  • Managing inventory for retail, professional backbar, and medical supplies, including ordering.
  • Resolving customer concerns in a timely and effective manner.
  • Following up with patients regarding account balances, appointments, and treatment concerns via phone, email, and text.
  • Learning, retaining, and promoting treatment information to patients.
  • Attending events and promotional functions, both on-site and off-site.
  • Adhering to all company protocols and procedures with professionalism and confidentiality.
  • Managing weekly assigned administrative tasks to support the business.
  • Attending team meetings, product and device training, sales coaching, and performance reviews.
  • Reviewing patient accounts and managing billing, including memberships, packages, and transactions.
  • Inputting e-commerce sales orders daily.
  • Compiling reports on sales, inventory, patient retention, etc.
  • Managing applicable business software for charting, booking, and patient reviews.
  • Handling appointment scheduling, confirmations, bill pay, and patient consent forms.
  • Managing promotional items and in-spa displays.
  • Increasing sales through lead generation, warm calling, patient consultations, and effective patient follow-up.
  • Assisting providers and management as needed.
