About The Position

As the Practice Manager, you will report to the Director of Operations (DO) and function in a leadership position to manage the overall operation of our DOC clinic. Your responsibilities will include ensuring consistent customer service and satisfaction, monitoring revenue and expenses, and maintaining a safe clinic for guests and team members. You will also provide expertise to ensure all guests receive high-quality, efficient care. This role leads the delivery of guest management and team member engagement throughout DOC clinics to ensure performance of all necessary functions of daily operations are met. You will cover clinics as needed, offer an extra layer of support at the clinic level for all team members, and answer questions and provide reassurance and empathy for all team members and guests.

Requirements

  • 3 years of experience in a medical office setting.
  • 1 year of experience in the supervision of staff.
  • Working knowledge of Microsoft Word, Excel, and Outlook.
  • Experience using an EHR system.
  • Proficiency in computer skills/EMR programs.
  • Ability to lift up to 50lbs.

  • BA/BS degree or long tenure as a medical clinic lead or manager.

Responsibilities

  • Supervise, orient, and train clinic team members to ensure all policies, established practices, and standards are followed, including DOC WHY and Values, EMR use, Platinum process, and office protocols (e.g., sending referrals, using billing profiles, charting appropriately).
  • Work with the DO to develop, communicate, and lead the execution of clinic goals and objectives, which may include revenue and expenses projects or tasks, clinic performance and operations, and team retention and engagement.
  • Make recommendations for improvement of clinic flow and processes, and work directly with the DO to implement changes.
  • Handle the daily management of the clinic, including individual and team performance, as well as managing guest and visitor issues.
  • Provide performance feedback, recognize good performance, identify and mentor potential candidates for promotional opportunities, and bring larger issues to the attention of the DO.
  • Monitor guest flow, including keeping guests informed, overseeing and seeking to reduce wait times, acting on information provided by Web Check-In, and ensuring efforts are coordinated to provide the highest quality care and services.
  • Manage and maintain the upkeep of the interior and exterior areas of the clinic and work with vendors on signage, overall clinic appearance, and key control items as needed.
  • Ensure all compliance measures are met, including overseeing clinic opening/closing, documenting incident occurrence reports, preparing for and completing clinic audits/reviews/surveys, and maintaining all safety precautions.
  • Manage clinic inventory.
  • Maintain team schedules, approve timecards and PTO requests, and work closely with other clinic managers in the market to coordinate PRN team members schedules.
  • Ensure x-ray room compliance remains within state guidelines.
  • Work collaboratively with the DO to develop efficiencies and roll them out.
