About The Position

Astra Wellness is a boutique outpatient behavioral health practice committed to providing compassionate, high-quality care in a supportive and collaborative environment. Astra Wellness is seeking a Practice Manager to join our new practice. The Practice Manager is responsible for the overall business and administrative management of Astra Wellness. This position provides operational leadership, oversees financial and revenue cycle functions, ensures compliance with laws and regulations, and manages support staff. The Practice Manager works closely with the clinical team and Board of Directors to ensure high-quality, patient-centered care and efficient, sustainable operations.

Requirements

  • Bachelor’s degree in Healthcare Administration, Business Administration, or related field required
  • Prior healthcare management experience required
  • Strong leadership, communication, and problem-solving skills.
  • Knowledge of healthcare billing, insurance reimbursement, compliance regulations, and human resources.
  • Proficiency in EHR systems, scheduling software, and Microsoft Office Suite.

  • Master’s preferred
  • behavioral health experience preferred

Responsibilities

  • Oversee daily operations including scheduling, front office, and administrative functions.
  • Develop and implement policies, procedures, and workflows to promote efficiency.
  • Track key performance metrics such as patient volume and scheduling utilization.
  • Serve as liaison between staff, providers, patients, and external stakeholders.
  • Recruit, hire, train, and supervise administrative staff.
  • Conduct performance evaluations and foster a positive, collaborative work environment.
  • Lead regular team meetings and promote open communication and problem-solving.
  • Manage budgets, payroll, billing, insurance claims, and collections.
  • Review financial reports, monitor performance, and recommend improvements.
  • Ensure timely credentialing and payer contract management.
  • Ensure adherence to HIPAA, OSHA, and other state/federal regulations.
  • Maintain accurate documentation and coordinate audits or compliance reviews.
  • Implement risk management strategies to enhance patient safety and minimize liability.
  • Foster a culture of service excellence and patient-centered care.
  • Respond to escalated patient concerns professionally and promptly.
  • Monitor and improve patient satisfaction through feedback initiatives.
  • Partner with leadership to guide strategic planning and growth initiatives.
  • Lead marketing, community outreach, and referral development efforts.
  • Identify new technologies and process improvements that enhance care and efficiency.
