About The Position

The Practice Manager - Pediatrics is responsible for overseeing the clinical and administrative aspects of a pediatric office in West Ann Arbor, working in conjunction with the Site Medical Director (SMD). This role focuses on practice profitability, revenue goals, and CORE metrics, ensuring high-quality patient care, customer and staff satisfaction, productivity, revenue enhancement, managed care performance, staff leadership, and adequate patient access.

Requirements

  • Bachelor’s degree is preferred with a combination of 1-2 or more years’ relevant work experience.
  • Practice Management Certification or other Relevant certifications preferred.
  • Prior leadership experience in a medical office environment or other relevant professional experience.
  • Minimum of 2 years of relevant work experience in combination with meeting education requirements.
  • Two years of experience directly supervising non-exempt staff is required; however, may consider leadership role in lieu of direct supervision as equivalent experience.
  • Considerable knowledge of health care functions, including clinical functions, medical billing and coding procedures, reimbursement practices and quality improvement initiatives.
  • Knowledge of the legal and compliance aspects of health information systems and best practices in medical office operations.
  • Proficient in operating a standard desktop and Windows-based computer system, including EMR software, Microsoft Word and Excel, intranet, and computer navigation.
  • Ability to use other software as required.
  • Excellent communication skills in both written and verbal forms, including proper phone etiquette.
  • Ability to speak before groups of people, either in-person or virtually and resolve conflict.
  • Ability to work collaboratively in a team-oriented environment; displays courteous and friendly demeanor.
  • Ability to work effectively with various levels of organizational members and diverse populations.
  • Ability to cross-train in other areas of practice.
  • Good organizational and time management skills to effectively juggle multiple priorities, time constraints and large volumes of work.

Responsibilities

  • Directs internal practice operations, creates benchmarks, tracks progress, researches process improvements, and implements changes.
  • Develops the vision and direction of the practice in alignment with IHA’s priorities with the SMD.
  • Develops, implements, and manages the CORE Work plan with practice providers and the management team.
  • Ensures the highest quality of care is delivered by reviewing patient care quality data, peer review data, and developing action plans.
  • Reviews practice risk assessment regularly and monitors the continuing medical education of the team.
  • Ensures patient satisfaction scores demonstrate continuous improvement.
  • Manages practice staff, including hiring, training, supervising, evaluating, disciplining, and terminating.
  • Creates a positive and productive work environment to attract and retain staff, providers, and patients.
  • Ensures the appropriate number and mix of staff competencies, skill levels, and qualifications with the SMD, practice supervisors, Associate Division Director, and Division Director.
  • Organizes and implements orientation and training programs for new staff and providers under the guidance of the SMD.
  • Promotes educational opportunities for staff and providers and develops future leadership within the office.
  • Reviews annual staff and provider satisfaction reports and develops improvement plans.
  • Addresses personnel issues with the Associate Division Director, Division Director, staff supervisors, SMD, and HR.
  • Contributes to the evaluation and improvement plans for Physicians/APNs and coordinates provider scheduling.
  • Assures the practice’s compliance with federal, state, and safety regulations.
  • Ensures the practice maintains a physician documentation and coding audit program.
  • Assures compliance with patient and staff safety regulations with the Associate Division Director, Division Director, and SMD.
  • Supports the development of plans for improving quality and patient safety.
  • Works respectfully and cooperatively with management, staff, patients, and vendors, handling escalated issues as needed.
  • Administers regular provider and staff meetings to gather feedback, ensure patient access, and develop teamwork.
  • Ensures office staff and providers have support and accurate information about IHA activities and goals.
  • Meets regularly with the Associate Division Director, Division Director, and SMD to review progress and problems.
  • Attends Divisional Operating Team and Practice Manager meetings as required.
  • Meets regularly with practice providers to review Operating Team meeting materials, financials, and progress on goals.
  • Is accountable for the financial performance of the practice with the Associate Division Director, Division Director, and SMD.
  • Develops and manages the practice annual budget.
  • Reviews monthly financial data and develops tools to assist in understanding practice performance.
  • Prepares and responds to monthly budget variance reports.
  • Monitors monthly statistical reports and practice trends, developing action plans.
  • Develops cost-effective staffing models and office operations with the Associate Division Director and/or Division Director.
  • Participates in new business development as appropriate.
  • Implements effective, quality marketing programs.
  • Performs other duties as assigned.
