About The Position

Reports to the Practice Manager or Ambulatory Practice Coordinator, with input from assigned physician, nurses, or other health care providers. Responsible for delivering the highest quality service to patients while contributing to the smooth functioning of practice operations. This role involves greeting patients, managing communications, performing administrative tasks like check-in and scheduling, collecting co-payments, and facilitating patient flow. Level II responsibilities include assisting with billing functions, researching information requests, potentially acting as a group leader in the absence of a Manager, serving as a departmental resource for information and training, facilitating problem-solving, and participating in small projects.

Requirements

  • High School diploma or GED required.
  • 1-3 years related work experience required.
  • Experience with computer systems required, including web based applications and some Microsoft Office applications (Outlook, Word, Excel, PowerPoint, or Access).
  • Ability to read and write in English to understand basic safety instructions, take direction, communicate effectively with patients, families, and staff, and respond to basic questions.
  • Ability to understand spoken English to follow safety instructions, take direction, and communicate effectively in basic English with patients, families, and staff.
  • Ability to interact respectfully with other employees, professional staff, and external contacts.
  • Ability to provide a high level of customer service in a professional, service-oriented, respectful manner.
  • Ability to remain calm in stressful situations.
  • Exerting up to 20 pounds of force frequently to move objects.
  • Must be vaccinated against influenza (flu) as a condition of employment.

Nice To Haves

  • Certificate 1 Medical Admin Assistant Cert preferred.
  • 1-3 years experience in a healthcare or service/hospitality environment.

Responsibilities

  • Greets patients and visitors courteously and respectfully.
  • Serves as a central communication source, being responsive, accessible, and visible.
  • Provides accurate information, directions, and guidance, ensuring needs are met.
  • Performs check-in, registration, scheduling, and verification of demographic and fiscal data using a computer system.
  • Collects co-payments according to established standards.
  • Schedules, reschedules, and cancels appointments, accommodating patient and provider needs.
  • Obtains and enters referrals.
  • Monitors and supports patients and visitors entering and leaving the practice.
  • Facilitates timely patient flow and proactively solves flow issues.
  • Acts as a liaison between patients and practice staff, and between patients and other areas, to ensure optimal flow and service delivery.
  • Facilitates billing functions.
  • Researches and follows through on a wide variety of information requests.
  • May act as a group leader in the absence of the Manager.
  • Acts as a department resource to others for information and training.
  • Facilitates problem-solving and provides appropriate direction.
  • May participate in small projects under the direction of the Manager or designee.
