About The Position

The Portfolio Processor manages the operational backbone of East Harbor Financial's lending activity, from loan boarding and document management through payment tracking and file maintenance. This role involves close collaboration with underwriting, closing, and leadership to ensure accurate documentation, audit-ready files, and proper payment accounting. It is a high-volume, detail-intensive position offering significant insight into the internal operations of a private credit portfolio.

Requirements

  • 1–3 years of experience in loan operations, loan servicing, commercial banking operations, or a similar file-heavy financial role.
  • Strong attention to detail and ability to manage high volumes of documentation accurately.
  • Working knowledge of loan documents (promissory notes, security agreements, UCC filings, title work).
  • Proficiency in Excel and comfort working in loan management or CRM systems.
  • Organized, self-directed, and able to manage multiple priorities under deadlines.

Nice To Haves

  • Experience with commercial truck, equipment, or fleet financing documentation.
  • Familiarity with state DMV title processes, vessel documentation, or real estate closing packages.
  • Background in SBA loan servicing, CDFI operations, equipment leasing, or insurance tracking.
  • Associate's or bachelor's degree in business, finance, or related field.

Responsibilities

  • Board new loans into internal systems, ensuring accuracy across terms, collateral, borrower data, and payment schedules.
  • Build and maintain complete loan files including promissory notes, security agreements, titles, insurance certificates, and UCC filings.
  • Track document checklists from origination through closing and flag outstanding items.
  • Coordinate with attorneys, title companies, insurance agents, and DMVs to collect and verify required documentation.
  • Process and reconcile incoming loan payments, payoffs, and advances.
  • Monitor payment status across the portfolio and flag delinquencies or exceptions for review.
  • Maintain accurate records of amortization schedules, escrow accounts, and fee assessments.
  • Generate routine portfolio reports including aging, payment history, and collateral summaries.
  • Ensure all loan files meet internal documentation standards and are audit-ready at all times.
  • Track UCC filing expirations, insurance renewals, and registration deadlines across the portfolio.
  • Support lien perfection processes including title transfers, UCC amendments, and continuation filings.
  • Assist with annual reviews, covenant tracking, and portfolio surveillance as needed.
