POSITION SUMMARY: The Portfolio Manager is responsible for managing and supervising a commercial property portfolio. The Portfolio Manager has the primary responsibility for setting measurable business goals and objectives, assuring the timely preparation of annual budgets, recommending capital expenditures, coordinating marketing and leasing activities for the commercial property portfolio, implementing commercial policies and procedures, and supervising property staff. The Portfolio Manager may directly manage a portion of the commercial property portfolio and as such will be responsible for those duties of a Property Manager. This is a dynamic, on-site role that places you at the heart of the action. As a result, an essential function of this position is working on-site. Remote or hybrid options are not available. Being on property allows you to build strong relationships with clients and tenants, respond in real time, and make a visible impact every day.

Requirements

  • A bachelor's degree in Business Management, Finance, Accounting, or a Human Resource Management related discipline required, Advanced degree preferred.
  • CPM, RPA, and/or CCIM designations preferred in addition to degree.
  • State Real Estate License required.
  • A minimum 7 years of property management experience, preferably in commercial /Class A Office management.
  • At least 5 years in a senior leadership role, directing a team of properties.
  • Must have intermediate to advanced Microsoft 365 Word, and Excel proficiencies.
  • Microsoft Outlook, Argus, Accounting Software such as MRI or Yardi proficiency preferred.
  • Demonstrated ability to work effectively in a team with Market Leaders, Engineering, Client Accounting, Leasing, and Investment Sales group in pitching/winning new business.
  • Proven technical knowledge of building operations including engineering.
  • Must be flexible, highly creative, work well under pressure and within tight schedules.
  • Demonstrate strong analytical capabilities with a high attention to detail.
  • Ability to keep information and internal communications confidential.
  • Exhibit excellent verbal and written communication skills.
  • Travel to various property locations.
  • Strong background in managing multiple portfolios with responsibility for team leadership, performance, and operational execution.

Nice To Haves

Responsibilities

  • Cultivate relationships with key property owners in the market.
  • Play a key role in targeting the best sites for potential expansion, using industry knowledge and experience to find the most advantageous opportunities.
  • Identify new acquisition opportunities through contacts with brokers, builders, bankers, property owners, and in-house contacts.
  • Develop leads to create and build client relationships while sponsoring interaction to obtain projects.
  • Assist in formulating standard/routine proposals in conjunction with team members and various functional groups.
  • Communicate back to internal groups the outcome of the negotiations/proposals focusing on conveying the expectations set forth for each group i.e. clear details, critical timeframes, and expectations.
  • Establish and maintain on-going client relationships with the various parties to anticipate and resolve potential problems.
  • Participate in site visits.
  • Together with the Executive Managing Director, Asset Services, cultivate relationships within management services companies in the region to identify merger and acquisition opportunities.
  • Prepare financial analyses, market analyses, and narrative reports to support M&A findings.
  • Post-acquisition work including coordination with other Transwestern Property Management Services leadership in the training of new property management teams on Transwestern processes and procedures related to operations management, finance and human resources.
  • Take the lead in financial and accounting management for this specific portfolio including analysis, planning and reporting.
  • Coordinate all aspects of marketing related to the portfolio.
  • Coordinate regular meetings throughout the year to ensure strong property owner communications.
  • Establish and maintain relationships with industry influencers and key strategic partners.
  • Establish and maintain a consistent corporate image throughout the portfolio of properties, promotional materials and events related to the portfolio.
  • Participate in related business organizations/industry trade.
  • Maintain current assessment of leads to new clients.
  • Report on status of properties in the pipeline.
  • Review and approve commercial property operating statements for compliance with approved budgets.
  • Review proposed major expense variances from commercial property budgets and make recommendations to property owners.
  • Prepare or oversee the preparation, in a timely manner, of all documentation and information required for accounting department data input and report generation.
  • Supervise Property Managers’ delinquency collection efforts, including the handling of delinquent accounts.
  • In conjunction with the Vice President and property owners, identify and analyze major capital expenditure programs, such as remodeling programs and major tenant improvements for the commercial properties.
  • Coordinate annual commercial property budget reviews, competitive surveys and management business strategies.
  • Coordinate accounting support with the corporate Controller.
  • Participate in special projects periodically assigned by the Vice President, Senior Vice President or owner.
