About The Position

The Portfolio Management and Operations Manager provides department-wide leadership for the operating model that connects School of Medicine Information Services priorities to execution across functional areas. This role oversees portfolio governance, department operations, financial planning and forecasting, procurement coordination, workforce and HR operations, capacity planning, risk management, operational agreements (MOUs, SOWs), and select strategic initiatives. Working closely with the IT Assistant Director, PMO, Finance, Human Resources, procurement partners, and functional leaders, the position drives prioritization, operational effectiveness, resource alignment, and executive decision-making. The role serves as both a strategic portfolio leader and an operational integrator in a complex, matrixed environment.

Requirements

  • A bachelor’s degree in business, business administration, information systems, healthcare administration, public administration, organizational leadership, communications, or a directly related field from an accredited institution.
  • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year-for-year basis.
  • At least four (4) years of experience in portfolio management, program management, PMO/enterprise delivery, business operations, strategy and operations, technology operations, organizational transformation, or a closely related field.

Responsibilities

  • Lead portfolio governance, prioritization, capacity planning, and executive decision support.
  • Provide portfolio visibility, reporting, forecasting, and recommendations on priorities, risks, dependencies, and resource allocation.
  • Partner with the PMO to align portfolio decisions with execution.
  • Coordinate department operations, financial planning, forecasting, procurement, and vendor management.
  • Oversee MOUs, SOWs, and service agreements from initiation through renewal and implementation.
  • Coordinate workforce planning, recruiting, onboarding, and HR-related processes.
  • Monitor capacity, staffing needs, resource utilization, forecasts, and organizational risks.
  • Lead or govern high-impact cross-functional initiatives and programs.
  • Establish governance, stakeholder alignment, risk management, and accountability frameworks.
  • Supervise and develop the Information Services Operations Coordinator.
  • Drive process improvement, operational efficiency, reporting enhancements, and a culture of accountability and continuous improvement.
