The Tomahawk program management office is seeking an Executive Assistant who will have responsibility for the support of the Tomahawk Senior Director within the Naval Air Missiles SSBU to provide a full range of direct administrative support. This position will report to the Tomahawk Senior Director and may support other leaders within the Tomahawk leadership team. The ideal candidate will have demonstrated competencies in communication, organization, and technology. They will also have sound judgment and understand the importance of teamwork and customer service. This is an onsite position at our Tucson, AZ site. Relocation assistance is NOT available currently.

Requirements

  • Typically requires AA/AS Degree (or other 2 year post high school training) with a minimum of 6 years of relevant experience
  • Prior experience supporting a large functional organization or a program office
  • Prior experience with calendar management, meeting scheduling and coordination, and planning events
  • Prior experience with expense reports, and data reports using Microsoft Office tools (Word, Excel, Powerpoint, Outlook, Sharepoint)
  • The ability to obtain and maintain a U.S. government issued security clearance is required.
  • U.S. citizenship is required, as only U.S. citizens are eligible for a security clearance
  • Active and existing security clearance required after day 1

  • Demonstrated excellent attention to detail, ability to work independently with minimal supervision, and adapt to changes in priorities in a fast-paced environment

  • Ability to work a flexible schedule that may require overtime or extended hours on occasion
  • Ability to represent Directors to both internal and external customers
  • Ability to respond quickly and adapt effectively to non-routine requests and situations with accuracy

Responsibilities

  • Perform comprehensive range of direct senior leader office support
  • Serve as primary liaison between the Program Areas and other leaders within the business, corporate office, and other function interface with executive management and external customers and vendors; handle sensitive information with discretion and accuracy
  • Manage workflow of multiple issues within a continuously adapting schedule for the assigned leaders and staff while remaining cognitive of the criticality, sensitivity, and confidentiality of issues both internal and external to the Company
  • Maintain schedule of appointments while independently prioritizing the level importance and following protocol and procedures for contacting individuals
  • Screen information and communicate instructions and information effectively on behalf of the Directors and follow up to ensure a timely response
  • Monitor email, attend meetings and calls to gather action items, create and maintain a system to generate reminders of completion deadlines
  • Plan and coordinate events and meetings to include customer and supplier visits, Program Management Reviews (PMRs); to include classified phones calls and meetings, conference room reservations, catering services, video conferences
  • Coordinate materials prior to meetings and ensure pre-briefs are set up prior to, when appropriate
  • Compose reports, correspondence, PowerPoint presentations, and memorandums. Reviews drafts and finished documents
  • Coordinate complex domestic or international travel according to policy, accurately prepare and submit expense statements
  • Interface with Facilities and Security; submit security clearance requests as needed
  • Provide administrative expertise in identifying problems and issues and reach resolution, with little supervisor oversight
  • Understand and comply with Raytheon policies and procedures and Security functions
  • Proactively identify ways to enable greater productivity and efficiency in role
  • May provide back-up support to the Vice President’s Executive Assistant Senior in his/her absence
  • Expected to demonstrate high degree of professionalism
