The Portfolio Assistant provides administrative and operational support for financial and investment planning and advice, aiming to deliver an exceptional customer experience. This role involves working collaboratively within an Investment Counsellor team or Private Wealth branch and with business partners. Key responsibilities include identifying gaps and best practices by monitoring sales and service performance, contributing to business objectives through client relationship building and acquisition (via internal referrals and external marketing), and expanding business growth through telemarketing and outbound calls. The assistant coordinates marketing activities and sales materials, provides detailed information on products and services, and determines appropriate communication for investment aspects. They are expected to independently resolve client complaints, stay current with the investment services marketplace and regulatory environment, and coordinate strategic initiatives. The role also involves data analysis for insights, generating reports and dashboards, and providing specialized support for client services, including preparing for client meetings and annual reviews. Ensuring client needs are met, managing requests according to policies, maintaining schedules for customer meetings and office coverage, and meeting high-quality service standards are crucial. The assistant develops client rapport, organizes work for accuracy, and adheres to risk and compliance processes to safeguard assets and maintain privacy. They protect the Bank's assets and comply with all regulatory, legal, and ethical requirements, handling complex tasks and escalations, and making risk-informed decisions aligned with business strategy and policy.
