About The Position

This role serves as the primary point of contact for over-the-counter transactions and phone calls at the Port and Harbor. The Administrative Assistant will support the maintenance of both paper Moorage Agreements and digital client records within the harbor database. Key responsibilities include acting as the purchasing agent for the Port and Harbor, generating budget reports for department heads, and managing records of daily electric usage for monthly billing. The position also involves assisting with delinquent accounts and performing other assigned administrative tasks.

Requirements

  • Three years of administrative experience required.
  • Excellent customer service skills required.
  • Written and verbal skills in composing letters and contact with the public.
  • Accurate keyboarding skills and working knowledge of modern office procedures and equipment.
  • Working knowledge of computer and current software required.
  • Ability to monitor several tasks at once.
  • Diplomacy and confidentiality in answering inquiries and problems essential.
  • High school diploma or G.E.D. required.

Nice To Haves

  • Working knowledge of accounting procedures desired.
  • Familiarity with marine terminology and radio communication desirable.

Responsibilities

  • Serve as the first point of contact for customers, greeting them, responding to inquiries and complaints, and conducting transactions over the phone and in person using the Harbor Management database.
  • Act as the purchasing agent for the Port and Harbor, identifying needed supplies, preparing purchase orders, coding and routing vendor invoices, scanning invoices for payment processing, and reconciling monthly credit card statements.
  • Track purchases against the budget and provide monthly budget reports to department heads.
  • Perform daily data entry from paper electric usage forms and manage monthly electric billing.
  • Process daily close-outs and balance the cash drawer and register.
  • Activate fish dock user cards and add users to the Harbor Management Database.
  • Manage the annual renewal of Fish Dock Use and Terminal Use Permits, and track seafood wharfage reports.
  • Process parking and load and launch fees collected at harbor kiosks.
  • Assist in developing and researching grant applications.
  • Monitor delinquent Port and Harbor accounts and conduct collection procedures.
  • Monitor office equipment and order supplies as needed.
  • Perform duties as a Notary Public as required.
  • Learn the duties of other office staff to provide back-up relief.
  • Perform other related duties as directed by the Administrative Supervisor.
