About The Position

The Policy Service Administrator is responsible for providing exceptional service to advisors by managing the administration of in-force life insurance policies and processing policy changes accurately, efficiently, and in accordance with established service standards. This role serves as a key liaison between advisors, insurance carriers, and internal stakeholders to ensure policy service requests are completed in a timely and compliant manner.

Requirements

  • Minimum of 2 years of experience in the life insurance industry, preferably in policy service, administration, or in-force policy management.
  • Knowledge of life insurance terminology and products preferred
  • Exceptional organizational and time management skills with the ability to manage multiple priorities and meet established deadlines in a high-volume environment.
  • Attention to detail with a high level of accuracy in data entry and transaction processing.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and relationship-building skills with the ability to collaborate effectively across teams and with external partners.
  • Ability to handle sensitive and confidential information with professionalism, discretion, and sound judgment.
  • Proficiency in WealthServ and Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.

Nice To Haves

  • Industry designations such as FLMI, ACS, AIAA, or other relevant insurance credentials are considered an asset.
  • Bilingualism in English and French is considered an asset.

Responsibilities

  • Take ownership of assigned policy service requests, prioritizing urgent cases and proactively addressing issues that may impact processing timelines, client experience, reporting, or commission payments.
  • Anticipate the needs of advisors and follow established processes for informing advisors of important details related to policy changes.
  • Serve as the primary contact and resource for insurance carriers regarding in-force policy servicing activities.
  • Communicate carrier requirements, decisions, and updates to servicing advisors in a clear and timely manner.
  • Maintain PPI service standards by ensuring all policy changes are processed accurately, compliantly, and within established service levels.
  • Review, process, and submit policy change requests to the appropriate insurance carrier and accurately document all activities in WealthServ in accordance with PPI guidelines.
  • Respond promptly and professionally to inquiries from advisors, insurance carriers, and internal stakeholders.
  • Provide advisors with regular updates regarding the status of outstanding service requests.
  • Liaise with insurance carriers to monitor progress and expedite policy service requests when required.
  • Participate in special projects and perform additional duties as assigned.
  • Demonstrate behaviours that support and align with PPI's Environmental, Social, and Governance (ESG) commitments to advisors, clients, employees, and the communities we serve.
