About The Position

The CIRCUIT COURT OF COOK COUNTY ADULT PROBATION DEPARTMENT is seeking a Policy and Accreditation Assistant. This non-union position is responsible for developing and maintaining policy and form templates, creating desk references and procedural guides, and supporting the Director of Policy and Accreditation in various implementation and assessment tasks. The role also involves maintaining an inventory of forms, records of current and historical policies, and assisting with accreditation materials and committee meetings. The position is located at 2650 S. California Avenue, Chicago, IL 60608, with working hours from Monday to Friday, 8:30 am to 4:30 pm. The salary range is $70,242-$77,452.

Requirements

  • Bachelor's degree from an accredited college or university in Public Policy, Communications, Criminal Justice, Criminology, Sociology, Social Work, or a related field.
  • Establish residency in the State of Illinois within six months of hire.
  • Knowledge and experience with formatting documents and creating templates in Microsoft Word, Power Point, Publisher, and Adobe Acrobat.
  • Strong command of document creation software applications, including the Microsoft Office Suite and Adobe applications.
  • Excellent oral and written communication skills, including the ability to present to large groups and mixed audiences.
  • Strong organizational and time management skills, including the ability to prioritize and manage multiple projects and tasks.
  • Understanding of evidence-based practices in community corrections.
  • Ability to think critically, strategically, and creatively to support the department’s policy priorities.
  • Ability to manage independent projects and team projects.
  • Attention to detail and ability to synthesize and summarize complex information in a way that is easy to understand.

Nice To Haves

  • One (1) year of experience with developing and interpreting policy and procedure in a government agency or non-profit organization.

Responsibilities

  • Develop and maintain policy and form templates.
  • Develop desk references and procedural/implementation guides for new and existing policies.
  • Support the Director of Policy and Accreditation in the development and implementation of operational manuals and procedure overviews.
  • Assist in the development and implementation of staff assessments to determine the level of understanding of policies and procedures.
  • Assist in the development and implementation of staff surveys to identify policy priorities, policy development needs, and barriers to policy implementation.
  • Maintain an inventory and directory of all department forms, including hard/print copies and digital forms.
  • Maintain records of current policies, current forms, and current job aids or procedure manuals.
  • Maintain an archive of historical policies and forms, including redlined updates and obsolete policies.
  • Assist Director of Policy and Accreditation with the collection, organization, and maintenance of accreditation materials for audits.
  • Assist Director of Policy and Accreditation with scheduling Policy & Procedure/ Forms Committee meetings.
  • Attend Policy & Procedure/ Forms Committee meetings to take notes, draft minutes, manage attendance and coordinate action items and deliverables.
  • Assist Director of Policy and Accreditation with preparing and distributing printed materials for policy meetings, forms meetings, and other meetings.
  • Assist Director of Policy and Accreditation in the distribution of any new or updated policies to department staff.
