The Police Department Administrative Coordinator for the City of Redmond provides advanced administrative, operational, and project coordination support to ensure the efficient and effective delivery of police department services. This role oversees office operations, enhances administrative processes, manages budgets, special projects, and prepares reports, analyses, and presentations to support organizational goals. The position also provides high-level customer service, and coordinates a wide range of administrative functions that promote operational excellence, compliance, and organizational effectiveness across the City of Redmond Police Department.

Requirements

  • Advanced knowledge of office practices, methods and procedures as well as a variety of software and computer products including MS Word, Excel and SharePoint.
  • Applicable knowledge of grammar, mathematics, statistics, general budgeting practices and financial record keeping.
  • Skill in communicating clearly and effectively.
  • Advanced skill in resolving complicated problems.
  • Knowledge of the functional program(s) of assigned department.
  • Ability to maintain proficiency on industry trends as they relate to a department’s function and provide information and guidance to facilitate and understanding of department objectives.
  • Ability to work independently and to use judgment and initiative when making decisions and/or recommendations.
  • Ability to reliably communicate a variety of information including operational policies and procedures.
  • Ability to learn and operate a variety of computer programs and office equipment at an advanced level and to train others when necessary.
  • Ability to handle confidential information with sensitivity and tact.
  • Ability to maintain effective working relationships with other employees and the public.
  • Ability to be detail oriented and work with frequent interruptions.
  • High school diploma or equivalent
  • Six years of progressively responsible administrative support experience at the executive level
  • Office management experience preferred
  • May require relevant certification or higher education coursework as it pertains to the department/division
  • Any equivalent combination of education, experience and training that provides the required knowledge, skills and abilities

Responsibilities

  • Coordinates and oversees office operations, identify resource needs, and develop action plans to achieve departmental objectives
  • Establish and update administrative processes, procedures and policies as advised by senior management.
  • Prepare documents for presentation to the Civil Service Commission.
  • Research, evaluate, and analyze data and provide advice and suggestions to others for use when making decisions regarding policy, procedural or operational changes including financial information, project closeouts and budget development.
  • Communicate information about city policies, procedures and programs to staff.
  • Research and review documents and data to determine how they will affect internal processes and determine appropriate course of action and respond within scope of authority.
  • Manage special projects; independently lead, coordinate and plan work assignments.
  • Independently develop conclusions and recommendations and present them to others; assemble and summarize data for management and prepare reports including budget summary/information as directed.
  • Provide advanced administrative support to department employees through travel/training registration and arrangements, expense reporting, and course completion records.
  • Answer customer questions on behalf of the department and consult with command staff and others as appropriate.
  • Onboard new employees on processes and procedures as they relate to the department.
  • Monitor, track and reconcile budgets and expenditures within the administrative scope of a project, program and/or unit.
  • Apply broad knowledge of City operations, policies, procedures, services and programs to increase the efficiency and effectiveness of a department.
  • Operate a variety of computer programs at an advanced level including MS Word, Excel, SharePoint etc.
  • Assist in updating intranet data and information for the department.
  • Act as a resource and/or backup to other departmental staff and assist with maintaining the effectiveness and efficiency of the department.
  • Coordinate onboarding and training processes for entry-level officers, including registering officers for the Basic Law Enforcement Academy, enrolling them in required Washington State Criminal Justice Training Commission (CJTC) courses, and maintaining accurate and up-to-date training records in accordance with CJTC standards.
  • Support the hiring and onboarding process by assisting with background investigations, coordinating applicant scheduling and communication, tracking progress through each hiring stage, and facilitating the successful onboarding of new employees.
