About The Position

The PM Manager coordinates preventive maintenance (PM) work with the ASM, field supervisors, operations, clients, service estimators, service managers, and subcontractors. The role prepares and schedules PM work, ensures work orders include equipment-specific instructions, reviews work in progress and completed paperwork, and follows through on deficiencies, quotes, materials, and subsequent maintenance. The PM Manager also monitors contract scheduling and job costing, reports on PM performance, and maintains accurate PM tasks, parts, and equipment data in Sampro.

Responsibilities

  • Collaborate with the ASM to prepare inspections due the following week and create a month-ahead schedule.
  • Prepare PM work orders with explicit instructions, noting that not all PM tasks are completed during every PM; document instructions in dispatcher notes.
  • Work with the field supervisor to ensure PM tasks match the equipment.
  • Coordinate schedules with clients, preschedule technicians with the ASM, and arrange materials delivery to job sites. Scheduling may be handled by the PM Manager in collaboration with the ASM; dispatching is handled by the ASM.
  • Review work orders in real time, catch errors, redirect work as needed, and keep the ASM informed about remaining work.
  • Ensure deficiencies found during PM work have quotes prepared and sent to service estimators; participate in developing a strategy for combining quotes.
  • Review completed PM work to confirm quotes are processed and all units are completed; process follow-up work and the next filter and belt order, close the PM work order, and preschedule the next PM with details.
  • Administer and schedule coil-cleaning work with subcontractors, coordinate with clients, and close out the work order when the work is complete.
  • Direct PM issues or discrepancies to the PM Manager for follow-up.
  • Ensure PMs are scheduled according to contract obligations.
  • Review job costing against budget to check margins, identify reasons margins were not met, bring issues to the team's attention, and document relevant notes in the work order.
  • Prepare and present a PM report card.
  • Run the monthly PM work order creator.
  • Collaborate with operations to adjust equipment requiring service on work orders.
  • Review all open quotes with the ASM and service manager before PM work begins, at least one week before the PM starts, to identify outstanding opportunities and inform service technicians. When quotes are deemed necessary, the service manager sends them to the client for potential work.
  • Clean up PM service tasks and service parts IDs for filters and belts, and document and update Sampro with details to streamline data.
  • Access client site files.
  • Work with operations to improve efficiency.
  • Adopt XOi into PM work orders.
  • Update equipment lists and contribute to creating equipment lists for new sites.
