Requirements

  • A minimum of a 2-year diploma or degree in Office administration, event planning, project management.
  • A minimum of 1.5-years of work experience gained while working in a professional setting on a long-term project requiring time management skills.
  • Demonstrated ability to solve problems and use judgement to escalate concerns.
  • Ability to clearly communicate verbally and in writing as required to effectively follow up on task completion.
  • Excellent organizational, analytical and time management skills.
  • Ability to work independently as well as working effectively in a team.
  • Ability to manage competing priorities in a fast-paced academic environment while maintaining accuracy and attention to detail.

Responsibilities

  • Track the progress and receipt of deliverables for a long-term, multi-phase project.
  • Maintain timelines and status reports.
  • Follow up with internal stakeholders and contract part-time faculty.
  • Create sub deadlines and a suggested order of tasks to achieve deliverables.
  • Schedule project status update meetings with internal stakeholders such as the Centre for Teaching and Learning (CTL), Professional and Part-Time Learning (PPL), Faculty of Social and Community Services (SCS), Faculty of Health Sciences (HS) and Transfer Services.
  • Take minutes in project status meetings and circulate them to relevant stakeholders.
  • Monitor the progress of part-time faculty deliverables via email communications (e.g., returning signed contracts, completing training modules, developing PLAR assessments).
  • Track task completion through a shared spreadsheet for payment scheduling.
  • Reflect on project progress and collaborate with the Director to generate results reports and presentations.
  • Proactively identify when progress is off-track.
  • Identify possible solutions to project delays.
  • Weigh the relative risks of delay.
  • Use judgment to determine when to escalate concerns to the Director.
