About The Position

Shriners Children’s is seeking a Plant Facilities Coordinator (PRN) to join their team in Pasadena. This role is responsible for maintaining records for the hospital's preventive maintenance program, performing clerical duties, and supporting the Safety and Security and Environmental Services departments. The Plant Facilities Coordinator will also provide relief for Switchboard Operator/Receptionist duties. The position works under the direct supervision of the Manager of Plant Facilities.

Requirements

  • Keeping records for the hospital's preventive maintenance program of equipment and machines
  • Performing other clerical duties such as, but not limited to typing, filing and contacting vendors for cost comparisons.
  • Recording and transcribing minutes for the Plant Facilities, Safety, and other committees.
  • Performing clerical tasks for the Safety and Security department, Environmental Services department and relief of Switchboard Operator / Receptionist duties for the hospital.
  • Noting recommended servicing dates, reviewing warranties, filing of contracts and contacting vendors for servicing as directed.
  • Maintains the department Materials Safety Data Sheet handbook and recording and updating of OSHA files.
  • Two (2) years clerical experience preferred.
  • Minimum 45 wpm desirable.
  • Computer experience preferred and switchboard experience helpful.
  • Excellent writing and verbal communication skills.

Responsibilities

  • Assure accurate documentation and filing for Inspection purposes
  • Maintains all Preventative and Corrective Maintenance requisitions in the ITMS system
  • Maintain Security staff policies and procedures
  • Performs as Clerk of the Works for ongoing projects – and maintains project management documentation through to completion
  • Coordinates and manages incoming and outgoing communications both verbally and written.
  • Ensures the Director is up to date on all department activities
  • Performs daily tasks independently and prioritizes work effectively to meet the needs of the department
  • Calling vendors promptly and preparing requisitions accurately, at all times and following up on pending orders.
  • Attaching proper supporting documents to the invoice, 100% of time and forwarding to Supply Chain within two (2) days of receipt.
  • Reporting any discrepancies immediately, at all times.
