About The Position

This on-site Administrative Coordinator role supports a St. Louis–based production facility by providing comprehensive administrative and coordination support to the operations, engineering, and maintenance teams. The position focuses on office administration, inventory and purchasing support, vendor and visitor coordination, safety and compliance recordkeeping, and workforce scheduling and timekeeping. You will help keep plant operations running smoothly by maintaining accurate records, supporting safety programs, and ensuring effective communication across teams in a fast-paced manufacturing environment.

Requirements

  • High school diploma, GED, or related experience required.
  • At least 2 years of administrative experience in a fast-paced environment highly preferred.
  • Experience working in a manufacturing environment with a strong safety focus highly preferred.
  • Excellent verbal and written communication skills to interact effectively with employees, vendors, and visitors.

Nice To Haves

  • Prior experience supporting operations, engineering, or maintenance teams in an industrial or production setting.
  • Familiarity with ERP systems for inventory management, purchasing, and order processing.

Responsibilities

  • Monitor plant office and operations inventories and order supplies through the ERP system or vendor portals to ensure adequate stock levels.
  • Record the receipt of raw materials and supplies in the ERP system to maintain accurate inventory records.
  • Support sales order processing as requested by operations or other stakeholders.
  • Enter task lists, preventive maintenance plans, and spare parts information into the maintenance system to support equipment reliability and maintenance planning.
  • File maintenance and operations inspection records and equipment documentation in an organized manner.
  • Maintain site records in accordance with document retention requirements and company policies.
  • Coordinate service-vendor activities, including scheduling and communication with vendors supporting plant operations and maintenance.
  • Greet visitors and contractors upon arrival and review required site safety information to ensure compliance with safety procedures.
  • Assist operations and maintenance leaders with employee scheduling, shift assignments, schedule updates, and distribution of schedules.
  • Maintain employee timekeeping and attendance records, identify missing or inaccurate entries, and coordinate corrections with employees and supervisors.
  • Monitor and document employee point systems or attendance-related metrics and communicate relevant information to supervisors.
