About The Position

The City of Beaverton Planning Division is hiring a Support Specialist who will support land use application intake, Beaverton Planning Commission meetings, and everyday operations for the city’s planning team. This position provides the dedicated administrative support the Planning Division needs to keep core services running smoothly. By overseeing application intake, supporting public meetings, and keeping the division’s records and systems organized, the role helps the division stay efficient, meet legal deadlines, deliver good customer service, and reduce workload bottlenecks. The ideal candidate brings an organized and calm approach to busy days and can keep processes moving even when plans change. They pay attention to details and communicate clearly with colleagues and customers. They establish and nurture positive relationships with colleagues that facilitate collaboration within the division and across the city. They see the connections between multiple processes and systems and can think critically about what works well and what might need to be improved. They use good judgment and can be effective working independently, but know when to ask for input and assistance. They find satisfaction in doing the technical and administrative work that keeps the whole team functioning. This is a full-time, non-exempt, SEIU-classified position. There is one vacancy. The schedule will be primarily Monday-Friday, with evening work required twice each month to support Planning Commission meetings. The position will be eligible for hybrid work up to two days each week following the successful completion of probation. This classification and salary range are subject to review and formal approval as part of the fall supplemental budget, expected to go before Beaverton City Council on October 6, 2026.

Requirements

  • High school diploma or GED, and Four years of increasingly responsible administrative experience; or An equivalent combination of education and experience enabling the incumbent to perform the essential functions of the position.
  • Ability to pass reference checks and education verification, and satisfy the requirements of a background check.

Responsibilities

  • Support land use application intake using the online permitting system and help applicants understand required steps.
  • Prepare and send out land use notices through email, mail, newspaper, and the city website.
  • Coordinate Planning Commission meetings, including setting up the Council Chambers and managing tools like Zoom and iCompass.
  • Create and share meeting packets, scripts, videos, and minutes for Planning Commission, making sure everything is accurate and posted on time.
  • Provide day-to-day administrative support to the Planning Division, such as scheduling meetings and appointments, drafting and formatting documents, organizing communication materials, and helping staff find information.
  • Maintain digital and paper files, help with records searches, and support long-term document management and archiving projects.
  • Assist with internal and community events by coordinating schedules, equipment, materials, and other logistics.
  • Document processes and help improve how the division organizes information and completes its work.
  • Provide friendly customer service to community members and staff, answering questions and helping people find the right information.
