About The Position

Under general direction, provides administrative support to the Planning Department staff and Tulsa County. This role involves a variety of clerical and bookkeeping duties to support the Highway Engineering & Development Services division and ensure smooth operation of the Planning Department.

Requirements

  • Knowledge in clerical procedures and records; of spelling, punctuation, business English; of office methods and procedures; of laws, ordinances and regulations governing County financial matters; of departmental policies and procedures; of computer functions, such as Microsoft software such as Word, Excel, and Access; and of other services provided or available in the community.
  • Skill in receiving visitors; in maintaining accurate records and files; in proofreading; in operating a computer, calculator, and other related office machines; in Microsoft Office.
  • Ability to organize and accomplish a variety of clerical duties; to exercise initiative and independent judgement; to perceive clerical errors; to understand and follow oral and written instructions; to understand and follow departmental policies and procedures; to maintain confidential information; to exercise tact, patience, and courtesy in dealing with others; to speak clearly, distinctly and in a pleasing tone; and to cooperate and work with others.
  • Knowledge of Spreadsheet and Word Processing software.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports and business correspondence.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, fractions, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, of diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Regularly required to use hands to finger, handle, or feel; reach with hands and arms; and speak or hear.
  • Frequently required to sit.
  • Occasionally required to stand; walk; and stoop, kneel, crouch, or crawl.
  • Must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required by this position include close vision, peripheral vision, and ability to adjust focus.

Responsibilities

  • Receive visitors, answer phone calls, coordinate appointments and meetings, open and distribute mail, and provide general clerical support.
  • Compose and prepare correspondence, reports, contracts, and other materials.
  • Gather, assemble and summarize information and data for executive action as requested.
  • Provide transmittals to the Board of County Commissioners for all actions requiring BOCC approval.
  • Prepare and disseminate required notices according to regulations for various land use cases.
  • Encumber purchase orders, receive ordered goods and services, process invoices for payment, and perform other bookkeeping duties on behalf of the Highway Engineering & Development Services division.
  • Perform other pertinent administrative tasks for the department as needed.
  • Perform other duties as assigned.
