About The Position

The Project Information Management (PIM) Lead is responsible for establishing, implementing, and maintaining project information management processes throughout the full project lifecycle. This role ensures that project data, documents, drawings, and information systems are organized, secure, accessible, and compliant with company standards and regulatory requirements. The PIM Lead serves as a key liaison among project stakeholders, including Engineering, Procurement, Construction (EPC) firms, vendors, contractors, operations, maintenance, and IT teams, to support efficient information flow and successful project execution.

Requirements

  • Bachelor’s or Master’s degree in Engineering, Information Management, Business, or a related field required.
  • Proven experience in technical administrative support, document management, and project information management within capital projects.
  • Hands-on Commissioning & Qualification (C&Q) experience in GMP-regulated environments, including development of design-phase documentation (TM, DREV, DQ) and field execution of protocols for clean utility and process systems.
  • Demonstrated experience supporting technical information management activities on complex engineering or construction projects.
  • Strong written communication skills with the ability to develop procedures, training materials, work instructions, and user guides.
  • Excellent analytical, organizational, and problem-solving skills.
  • Strong interpersonal skills with demonstrated ability to influence, mentor, consult, and collaborate across multidisciplinary teams.
  • Proficiency with enterprise information systems, databases, and digital document management platforms.

Responsibilities

  • Develop and implement the Project Information Management Plan (PIMP), including processes for managing project data, documents, drawings, and records.
  • Communicate PIM requirements and standards to all project stakeholders, including EPC firms, vendors, construction, procurement, verification/MPD service providers, automation, maintenance, and operations teams.
  • Coordinate and manage the flow of project information between the company and external information providers, including A/E firms and contractors.
  • Ensure project data, documentation, and information systems remain organized, accessible, secure, and compliant throughout the project lifecycle.
  • Ensure contractor and support personnel are adequately trained on PIM requirements, standards, and procedures.
  • Verify that project data and documentation are delivered in accordance with GFD procedures, work instructions, specifications, and project planning documents.
  • Develop, track, and report key performance metrics related to project information and documentation status.
  • Create and execute PIM work plans for electronic databases and hard-copy repositories.
  • Establish and manage auditing programs to ensure documentation integrity, completeness, and adherence to project schedules.
  • Collaborate closely with the Design Verification Lead and MPD Lead to ensure timely availability and quality of required documentation and data.
  • Support the transition and handover of project data, documentation, and drawings to site operations and long-term document management systems.
  • Complete all project closeout and turnover documentation related to PIM activities.
  • Ensure project information remains current, controlled, and accessible across all project locations.
  • Review procurement, contracting, and project management procedures to ensure clear integration of Information Management and Document Control requirements.
  • Coordinate with Information Technology (IT) teams to support the implementation and maintenance of project information management systems and related databases/tools.
  • Monitor and assess contractor Information Management (IM) and Documents for Operations (DFO) performance, identifying gaps and recommending improvements.
  • Serve as the interim DFO Coordinator, when required, including planning, contractor document turnover coordination, and handover to operations teams.
  • Escalate issues that may impact documentation quality, project cost, schedule, or compliance to Project Team leadership in a timely manner.
