This role oversees and directs Physician Support employees in their assigned divisions, providing guidance and support for recruiting, hiring, training, goal setting, performance management, and promotional decisions. The position acts as a subject matter expert for physician support duties, divisional scheduling guidelines, and clinic management processes, consistently identifying areas for improvement and modeling the ICARE values. The essential functions include coordinating staffing plans, implementing procedures to enhance service and quality, developing guidelines for work prioritization, and serving as a resource for complex issues. This role also involves acting as a primary preceptor for new staff, providing training, and collaborating with cross-functional teams to revise division-specific documents. The Physician Support Coordinator identifies and communicates opportunities for improvement in scheduling and utilization, performs quality assurance monitoring, and works with leadership to investigate scheduling errors and improve workflows. They also provide daily Access Center triage information, act as the primary point person for scheduling triage, and collaborate with others to establish and monitor best practices. Additionally, the role participates in recruiting, hiring, and promotion decisions, assists with performance evaluations, and monitors staff performance, counseling as needed. They manage staff time off and overtime requests, oversee time approval, and perform physician support duties, especially for complex requests, ensuring excellent customer service, accuracy, and efficiency. The role also coordinates urgent and emergent clinic tasks, such as scheduling urgent surgeries and handling cancellations.
