About The Position

Hampton University is currently seeking an experienced and qualified Project Manager for the Physical Plant Department. The Project Manager serves as the University’s owner’s representative on construction, renovation, and capital renewal projects — responsible for delivering projects on scope, on schedule, and within budget while protecting the University’s interests in its dealings with architects, contractors, and vendors.

Requirements

  • BS Degree in Building Construction, Construction Management, Civil Engineering, Architecture, or a related field; or an equivalent combination of education and directly applicable experience
  • Strong leadership and communication skills
  • 5-7 years of experience in project management within construction
  • Comfortable reading and understanding blueprints and drawings
  • Demonstrated knowledge of construction, engineering, and architecture principles
  • Ability to budget, schedule, negotiate, and control costs
  • Proficient in Microsoft Office and general computer software, and project management software
  • High degree of familiarity with contract and subcontract document, terms and conditions

Nice To Haves

  • Experience representing an owner rather than a contractor
  • Experience in higher education, healthcare, or another institutional setting
  • Experience managing projects within an occupied and operating facility
  • Professional certification such as PMP, CCM, or similar
  • Experience with construction project management platforms and scheduling software

Responsibilities

  • Determine and define scope of work and deliverables
  • Manage projects up to $20 million dollars
  • Predict resources needed to complete project
  • Obtain necessary permits, approvals, and other regulatory prerequisites
  • Draft and submit budget based on scope of work and resources requirements
  • Manage costs to meet budget
  • Project delivery end to end — scope, schedule, budget, change orders, inspections, closeout
  • The full range, not just capital projects but departmental renovations and small work through major construction
  • Manage construction schedule and activities
  • Coordinate efforts across entire project between architects, designers, engineers, and subcontractors
  • Issue progress updates as needed regarding costs and timelines
  • Provide direction over contracts and subcontracts
  • Select and manage subcontractor and supplier relationships
  • Develop scopes of work for competitive bidding; evaluate bids and make award recommendations
  • Verify that work has been performed to specification before payment applications are approved
  • Review and evaluate change order requests, including evaluation of whether the work falls within the existing scope of the contract, before recommending approval
  • Confirm contractor and subcontractor insurance, bonding, and licensing requirements are met and remain current
  • Coordinate with contracted service providers where project work intersects existing service agreements, ensuring work is properly assigned and not duplicated across agreements
  • Administer warranties and manage warranty claims following project completion
  • Monitor contractor safety compliance and adherence to university standards on site
  • Capture and maintain project cost data as work progresses — commitments, change orders, payment applications against schedule of values, and remaining contingency
  • Provide project cost data for verification against the University’s accounting records and for reporting to senior leadership
  • Maintain the cost and commitment position on each active project so that project status is known in real time rather than at closeout
  • Support project close-out accounting, including final cost documentation and asset information required for capitalization
  • Staffing the Space Allocation Committee and building the space inventory behind it
  • Contribute condition assessment and project data to the University’s deferred maintenance register
  • Support capital renewal planning with cost estimates, condition information, and project sequencing recommendations
  • Establish and maintain complete project records — drawings, specifications, submittals, correspondence, change documentation, and closeout materials — as institutional records rather than personal files
  • Develop and document standard project management processes, templates, and procedures for the department
  • Maintain as-built documentation and building system records following project completion
  • Use project management, scheduling, and reporting software, and available automation and artificial intelligence tools, to manage schedules, track costs, maintain documentation, and produce reporting more efficiently than manual methods allow
  • Verify output generated by any software or automated tool before it is used in a decision, submitted to a contractor, or reported to leadership
  • Support the department’s broader adoption of technology and reporting tools, including training others in their use
  • Participate in emergency response and after-hours situations affecting University facilities
  • Develop working knowledge of physical plant operations, maintenance programs, and building systems beyond active projects
  • Support the Director and Assistant Director as assigned, including coverage during absences as experience permits
