About The Position

The Old Globe, located in beautiful Balboa Park, is seeking a Philanthropy Assistant to provide administrative support and assistance to the Associate Director, Philanthropy Operations; Director of Philanthropy; and the Philanthropy Department in raising philanthropic gifts and supporting departmental initiatives. Requirements

  • 1–3 years of administrative experience (nonprofit or fundraising environment preferred)
  • Exceptional attention to detail; able to follow directions and to work independently with precision and focus.
  • Excellent written and verbal communication skills
  • Demonstrated ability to work independently and as part of a team
  • Strong written and spoken communication skills.
  • High-level of computer skills (Microsoft Office and some design skills required).
  • Ability to manage multiple priorities and meet deadlines under pressure
  • Professional, courteous, and service-oriented demeanor
  • Regular onsite schedule (typically 8:30 AM – 5:30 PM; some flexibility with supervisor approval)
  • Ability to work occasional evenings and weekends
  • Valid driver’s license and access to a car required
  • Ability to pass a background check

Nice To Haves

  • Knowledge and experience with CRM platforms desired, Tessitura a plus.

Responsibilities

  • Provide administrative support to the Director of Philanthropy and department staff (correspondence, scheduling, expense reports, filing, and donor deliveries)
  • Schedule, coordinate attendance, and provide support for meetings of Board committees that operate under the purview of the Department of Philanthropy, such as Nominating and Governance, Philanthropy, and Gala. This may include send meeting notices and reminders, organize agenda, take and disseminate meeting minutes, coordinate meals and refreshments, and provide print and emailed materials.
  • Serve as the initial public contact to the Philanthropy department, responding to telephone calls, emails, and other inquiries and directing the inquiries appropriately.
  • Assist with event coordination, including RSVPs, nametags, and donor communications
  • Maintain organized records and files related to donor information, development materials, and departmental activities
  • Manage office supplies and ensure a well-organized workspace
  • Support donor stewardship efforts, including acknowledgement letters and gift coordination
  • Assist with volunteer coordination and donor research
  • Provide support with CRM/database maintenance and basic accounting tasks
  • Assist with ticketing, parking, and event logistics as needed
  • Perform additional duties to support the team and fundraising initiatives
